The Assistant Registrar manages the Registrar Service Counter and coordinates the delivery of registrarial services to students, families, University colleagues, and others at the counter, over the phone and via the Registrar email. Additional responsibilities include processing of Enrollment Verification, licensure and registration requests; problem-solving student issues related to online access and functionality; management of the scanning and indexing of academic records; coordination of the mailing of diplomas and maintenance of related records; and coordination of communications initiatives related to office deadlines and events. The Assistant Registrar supports all facets of office operations and assists at commencement and other Enrollment Services programs and events. Note: This role is an in-person position at the South Orange campus.

Duties and Responsibilities:

Manage Registrar Service Counter and supervise counter staff. Train, support and evaluate these personnel.

Manage Registrar phone service and office email account in keeping with standards for prompt, accurate and professional responses. Answer and resolve inquiries from students, parents, department chairs, deans and other internal and external constituents.

Process Enrollment Verification, licensure and course audit/withdrawal requests submitted by students. Assist with processing schedule, catalog and student record updates as needed.

Assist in problem-solving student access issues related to Self Service functions and PirateNet.

Manage scanning and indexing of a wide variety of academic records and documents.

Coordinate mailing of diplomas and maintenance of related records.

Assist in pre-commencement activities and at ceremony.

Manage the communication initiatives related to registrarial deadlines and processes within the office and throughout campus. Ensure registrar website is updated in a timely basis.

Assist in special projects as needed.

Required Qualifications:

Bachelor's Degree required.

One to three years of administrative experience in a Registrar's Office with knowledge of FERPA, academic policies and academic record procedures. Knolwedge of the Student Records component of the Banner system.

Outstanding communication skills: Ability to write clearly and coherently with good grammar and rhetoric, and to speak clearly and communicate in detail about often complex issues.

Excellent technical skills, including mastery of basic software products such as Microsoft Office.

Ability to maintain focus and accuracy in a busy and open office environment.

Demonstrated ability to work as a productive team member as well as to function independently.

Flexibility to work for extended hours during peak periods, including in the evenings as needed and on weekends for special events.

Strong commitment to student services.

Desired Qualifications:

Master's degree preferred.

Familiarity with Course Leaf and Degree Works.

Prior supervisory experience in a Registrar's Office with responsibility for a wide range of academic records services.

Ability to create Excel spreadsheets and to manipulate data therein,
