The Department of Orthopaedics is currently seeking a full time Department Administrator, Clinical. The Department Administrator, Clinical provides budget, finance, facilities, and clinical operations management for multiple sites within the Department of Orthopaedics reporting to the Sr. Administrative Officer. In addition, the position will manage on boarding, and mentorship/ training of our Practice managers and clinical staff.

CORE JOB FUNCTIONS
  • Develops policies and procedures for department operations and ensures compliance.
  • Develops and maintains systems for managing and reporting the department's activities.
  • Maintains close liaison and positive working relationships with faculty, staff, and all other employees interfacing within the department.
  • Provides leadership in developing business strategies and tactics to support the goals of the department and overall Health System strategic plans for market growth and development.
  • Guides managers in developing skills and implementing performance management practices.
  • Supports professional development of the workforce.
  • Monitors staff and physician satisfaction.
  • Provides administrative oversight to the division's practices, supporting the employment of the quality improvement process in improving operations.
  • Directs the planning and strategic formation of clinical program goals.
  • Analyzes and reviews financial and productivity reports.
  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

Department Specific Functions

Clinical
  • Clinical operational lead related to clinical growth, project management and daily operations for 2 Orthopaedics clinics and 4 satellite clinics.
  • Clinical growth, project management, daily operations, etc.
  • Streamline the day-to-day operations by developing clinical practice strategies and services.
  • Identifies opportunities for continued community engagement, new patient acquisition and promoting clinical services.
  • Reviews financial plans and makes recommendations on clinical operating expenses and assist in the development of operating and capital budgets.
  • Evaluates existing internal controls and approval processes and makes suggestions on how to improve operational efficiency.
  • Monitor financial expense for all clinical locations, implement changes to improve inventory control and ordering.
  • Communicates directly with providers, staff and patients to troubleshoot, investigate incidents, and resolve problems, including real-time day of service issues.
  • Oversees patient experience and patient complaints and escalations.
  • Management of provider templates to ensure template optimization for all Orthopedic locations and providers.
  • Creates and revises provider clinic templates, considering provider preferences, patient needs, clinic space availability, and efficiency
  • Approves, coordinates, and schedules appointments including overbooks as requested.
  • Authorized point person to open, close, reduce and add-on appointment slots or sessions as needed.
  • Monitors contractual obligations and ensures consistency with departmental budget and goals.
  • Oversees state and city licensing and certifications for all Orthopaedic clinics.
  • Ensures compliance with federal, state, and local laws and regulations.
  • Maintains and updates repository of postoperative rehabilitation protocols, home exercises for patients, reference sheets for staff, and other documents.
  • Trains Physician Assistants, athletic trainers, Medical Assistants, resident physicians, fellows, students, and other providers on the clinic workflow.

Administrative
  • Oversees determination of current and future clinical space needs and utilization, maintains existing physical facilities, and oversees construction and renovation projects.
  • Department Liaison with UConnect Master Scheduling, Office of Patient Advocacy, Executive Medicine and Patient Access.
  • Communicates with and educates scheduling staff (e.g. patient access representatives, call center agents) on appropriate patient scheduling and provider preferences.
  • Coordinate with leadership, faculty and team members such as Decision Support Analyst to produce reports on clinic and operating room volumes, patient demographics, and other data as requested.
  • Develops and maintains relationship with affiliated colleges, universities, and Ortho Programs.
  • Participates in and assists in the facilitation of Orthopaedic faculty meetings.
  • Performs marketing and outreach activities, in collaboration with marketing, development, physician relations, faculty, staff, and other UHealth departments to promote Orthopaedics.
