Description

SUMMARY

The individual in this position provides support to the President, Vice President of Programs, Philanthropy Department, and Board of Trustees. It is essential that all interaction be professional and of high quality. Confidential information will be handled on a regular basis. Maintaining confidentiality is a critical component of this position.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Manages calendar for the President/CEO
  • Provides administrative support to the Vice President of Programs
  • Ensures that material for Board meetings is prepared and provided to all trustees within the timelines established by the President and the Chair of the Board.
  • Prepares correspondence, reports and minutes of meetings for the President, committees, and the Board of Trustees
  • Maintains accurate Board roster and Board manual
  • Assists the Philanthropy Department with management of the board calendar
  • Develops committee meeting agendas, packets and records and transcribes the minutes as directed by the President
  • Attends necessary Board of Director and committee meetings
  • Maintains accurate files with copies of correspondence, reports, Board information, etc.
  • Manages all facets of the food program, including but not limited to ordering, inventory upkeep, and the submission of necessary reports to agencies as mandated
  • Assists with fundraising events as needed
  • Assumes purchasing duties as needed
  • Performs typing tasks, including Microsoft Word documents, Excel spreadsheets, envelopes, labels, PowerPoint presentations, and any other documents as directed by management

Requirements

SKILLS and ABILITIES
  • Strong written and verbal communication skills
  • Strong proofreading skills
  • Utilization of technology including the Microsoft Office components
  • Ability to meet deadlines
  • Exceptional organizational skills with the ability to prioritize tasks with minimal supervision and direction
  • Ability to answer the telephone, delivers messages, and place calls
  • Strong interpersonal skills
  • Outstanding attention to detail and accuracy
  • Consistent attendance
  • Flexibility in hours worked due to evening commitments and events as a component of the fundraising office
  • Ability to read, write and speak English fluently
  • Ability to pass Level II FBI background clearance and pre-employment drug screening

EDUCATION and/or EXPERIENCE
  • High School diploma required, Associates Degree, preferred
  • Experience with Microsoft Office programs
  • Experience with Raiser's Edge a plus

WORKING ENVIRONMENT
  • Works in a professional office environment
  • Routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines
  • Travel to meetings, functions, educational programs, and other activities as needed to achieve the goals and objectives of the organization
