Become an essential part of the College of Agriculture and Natural Resources as an Administrative Associate V, where you'll drive efficient operations, provide strategic support, and uphold the highest standards of confidentiality.

The Administrative Associate V plays a key role in providing advanced-level secretarial and administrative support for the Department of Agricultural Education and Communication within the College of Agriculture and Natural Resources. This position is responsible for coordinating daily office activities and administrative tasks, ensuring smooth workflow and effective communication. The role also involves managing and resolving complex, sensitive, and confidential issues while offering expertise in organizational planning and problem-solving.

This is a full-time, in-person position located on Tarleton's main campus in Stephenville, Texas. Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate; Some evenings and weekends may be required pending scheduled activities.

Requires the ability to work remotely at the University's discretion.

Responsibilities:

40% Coordination of Personnel Services

* Facilitates hiring process for faculty including adjuncts, support staff, and student workers for the department across multiple campuses (Stephenville, Waco, Fort Worth)


* Trains and supervises student workers by managing work assignments and schedules


* Assists with preparing tenure and promotion and post-tenure packets for yearly review


* Ensures the accuracy of payroll actions for departmental adjuncts, graduate assistants, and student workers



40% Administrative Support

* Directly supports the department head, faculty, and students in the Department of Agricultural Education and Communication


* Maintains and coordinates semester reports and small class justification records/request


* Assists as necessary with class preparation such as making copies, proctoring exams, and ordering supplies


* Complete and submit forms for departmental exams and various documents to the Registrar's Office, Academic Affairs, and various other stakeholders


* Assists the department head and program coordinator(s) with advising, registering, and record-keeping for Agricultural Education and Communication students


* Assign departmental faculty as Instructor of Record in Banner each semester


* Assists with class schedules and room assignments each semester for departmental faculty across all campus locations


* Maintains classroom constraints matrix and reports all equipment and classroom issues to the dean's office.


* Ensures departmental faculty members enter grades each semester and may assist with data entry


* Supports the dean's office with logistical support for departmental seminars and working luncheons


* Assist department head and faculty with travel arrangements and reimbursements.



15% Coordination of Office Activities

* Serves as the departmental receptionist


* Responsible for departmental inventory records and surplus transfers


* Responsible for purchasing departmental office supplies


* Coordinates desk copies and supplemental material for departmental faculty use at all campus locations


* Maintains MOUs/contracts and any specialized training or repairs associated with MOUs/contracts


* Facilitates the disposal of confidential departmental files including student/faculty records


* Complies with all State, System, and University regulations



5% Performs other duties as assigned.

Minimum Experience:

* High school diploma or equivalent combination of education and experience


* Five years of general clerical or office experience



Knowledge, Skills, and Abilities:

* Knowledge of word processing, spreadsheet, and database applications


* Effective verbal and written communication skills


* Strong interpersonal and organizational skills


* Ability to multitask and work cooperatively with others


* Ability to work with sensitive information and maintain confidentiality


* Ability to work remotely if/when requested by the University



Salary:

Commensurate with experience

The target base hourly compensation is $19.23 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
