  • Provide high-level, confidential administrative/clerical support to the CEO, including:
    • Take phone calls.
    • Take meeting minutes.
    • Coordinate calendars.
    • Schedule appointments.
    • Check deadlines on incoming requests.
  • Plan and implement a marketing and communication plan (online tools, social media, mobile technology) to promote Lifeways’ goals and mission.
  • Assist CEO in preparing and presenting reports to BOD, handle logistics of and attend board meetings, and take/prepare minutes.
  • Research, prepare, and submit grants and other public and private funding opportunities.
  • Create & maintain Lifeways’ content on social media platforms, i.e. Facebook, YouTube, Twitter, LinkedIn, etc.
  • Implement of oversight of website content to ensure new and consistent information (article links, stories, events, etc.) is posted regularly.
  • Draft press releases and communicate with reporters with the express written approval of the CEO or his/her designee.
  • Manage public relations campaigns for major agency events.
  • Review materials for the CEO’s signature.
  • Coordinate distribution of vital information to appropriate admin staff, directors, and Board of Directors (BOD).
  • Make travel arrangements (book flights, hotels, and car rental) for CEO and Sr. Leadership as needed.
  • Complete expense reimbursement reports for the CEO after trips.
  • Take and transcribe notes for assigned meetings.
  • Develop and distribute a Lifeways newsletter.
  • Ability to write text for and/or edit articles, brochures, flyers, special projects, etc.
  • Display above-average proficiency in the rules of grammar and precision in writing.
  • Learn about Lifeways’ programs, products, and clients and use this information to build and implement social media strategies and messaging to complement advocacy efforts.
  • Represent Lifeways to the community, including the news media, serving on local boards and committees.
  • Knowledge in elements of graphic design, photography, Adobe Creative Suite, and Microsoft Office applications.
  • Ability to multitask, manage time, meet deadlines, and remain calm and professional under pressure. 
  • Maintain standards of confidentiality of Lifeways’ clients and records.
  • Perform all work duties and activities in compliance with Lifeway’s policies/procedures, Oregon Administrative Rules, OSHA, and HIPAA regulations.

Required Qualifications:
  • Associate degree in a related field or two years of related experience. 
  • Successful completion of a background check.
  • Valid Driver’s License.
  • Proof of COVID-19 vaccination, or religious or medical exception.

Preferred Qualifications:
  • A bachelor’s degree is a related field.
  • Five to seven years of high-level clerical experience. 
  • Exceptional interpersonal skills, and communication skills both oral and written.
  • Friendly and professional demeanor.
