The position: The Purchasing Administrator will work closely with members of the IT team and the accounting department to process and analyze financial information relating to the IT department. This person will be responsible for getting quotes from suppliers, creating purchase orders, and preparing invoices for approval. The job will also involve creating and updating spreadsheets to track project and budgetary spend. The individual will be responsible for purchasing mobile devices and reporting on the mobile plans. Candidate must have a good understating of Inventory management and IT technologies.
Responsibilities
WHAT YOU’LL DO
  • Develop an efficient and accurate system for monitoring all open purchase orders.
  • Must be able to multitask in a fast-paced environment.
  • Must be able to communicate and interact with end users and other IT staff.
  • Process all purchase orders for IT.
  • Get quotes from suppliers for IT products as directed by IT personnel.
  • Review, categorize, and analyze all IT invoices.
  • Ensure all IT invoices are paid in a timely manner.
  • Work with vendors to resolve discrepancies with invoices.
  • Prepare reports showing IT spend by category, by location.
  • Prepare reports tracking spend to budget.
  • Deliver a weekly purchase order report to management that indicates the vendor invoice number for all closed purchase orders.
  • Track each IT project for spend reporting balance weekly.
  • Assist IT with maintaining proper inventory levels of materials used on a regular basis.
  • Assist with and coordinate contract negotiations with our IT suppliers.
  • Performs cost/price analysis on change order proposals and analysis of delivery requirements.
  • Conducts cost and/or price analysis of offers and proposals.
  • Negotiate directly with vendors to get the best possible pricing and payment options.
  • Other duties as assigned.
Qualifications
YOUR SKILLS AND ABILITIES (REQUIRED QUALIFICATIONS)
  • Education: High School Diploma.
  • Experience: Entry-level position.
  • Skills:
    • High attention to detail.
    • Excellent math skills.
    • Proficient with Microsoft Excel.
    • Familiarity with JD Edwards is a plus.
    • Customer service oriented.
  • Travel: Rarely.
