Administrative Coordinator

We are seeking a proactive and professional Administrative Coordinator to support a vibrant organization based in Aurora, CO. In this position, you will play a key role in ensuring that the team operates efficiently. You will have the opportunity to work in a dynamic environment, collaborate with diverse teams, and contribute to the success of the company.
Pay Rate: $22-$26 hourly
Schedule: In office daily; Monday-Friday 8am-5pm
Location: Aurora, CO 80019
What You’ll Do:
- Serve as the primary point of contact for clients, responding to inquiries, scheduling service appointments, providing updates, and addressing any concerns.
- Coordinate and schedule service appointments, assigning service requests to technicians, and ensuring they have the necessary equipment, tools, and materials to complete the job.
- Create and manage work orders for service requests, ensuring timely and accurate data entry into the tracking system.
- Maintain accurate and up-to-date service records, including inspection reports, insurance information, service agreements, client communications, materials used, and billing information.
- Manage the service inspection backflow process, including compliance reporting and updating third-party systems with insurance information and inspection reports.
- Assist with Accounts Receivable, including invoicing, customer calls, dispute resolution, generating reports, tracking, and sending statements.
- Perform basic accounting functions, such as Accounts Payable coding or Payroll data entry.
What We’re Looking For:
- 2+ years of experience in an administrative/customer service role (experience with On-Call Services is a plus)
- Strong attention to detail, excellent organization, and strong communication skills
- Positive, reliable, and hard-working team player
- Proficiency in Microsoft Office Suite
- High School Diploma or equivalent
