Administrative Assistant – Accounting Team Support


Job Description:

We are seeking a skilled and organized Administrative Assistant to directly support the accounting team of our family office. This role requires experience in managing documents, assisting with data entry, and processing expense reports, with an emphasis on accuracy and confidentiality. The ideal candidate will have at least 2+ years of experience in administrative support within a professional office setting and familiarity with QuickBooks.


Responsibilities:

  • Provide dedicated administrative support to the accounting team, ensuring the seamless organization and management of financial documents.
  • Organize, file, and maintain both physical and digital records with a high degree of accuracy and confidentiality.
  • Print, copy, and distribute documents as requested by the accounting team.
  • Assist with data entry tasks in QuickBooks, ensuring accuracy and attention to detail.
  • Collect, organize, and process expense reports and receipts, following family office protocols.
  • Manage the preparation of financial documents, including gathering necessary information and materials.
  • Perform general administrative duties, including answering calls, managing correspondence, and coordinating office supplies.
  • Support special projects and ad-hoc tasks as needed to facilitate the accounting team’s efficiency.

Requirements:

  • 2+ years of experience in an administrative support role, preferably within an accounting, finance, or family office environment.
  • Proficiency in QuickBooks and strong data entry skills.
  • Highly organized, detail-oriented, and capable of handling sensitive information with discretion.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple tasks effectively in a fast-paced, professional environment.

Preferred Qualifications:

  • Familiarity with general accounting principles and financial documentation.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience working in a family office or other private, high-net-worth environments.
