Are you a detail-oriented, organized, and proactive individual looking to contribute to a dynamic team in the field of behavioral health? Autonomous Behavior Solutions is seeking a Part-Time Operations Assistant to support our daily operations and help ensure our clinic runs smoothly.

As part of our team, you will play a crucial role in maintaining the efficiency of our administrative processes, supporting our staff, and contributing to our mission of providing exceptional services to individuals with autism and other developmental disabilities. Communication
Answer and transfer phone calls and take phone messages as needed.
Send emails to clients and forward client messages to the correct recipient
Communicate with parents or staff to schedule changes or cancellations for
the day, week, or month and update the calendar as needed.
Scheduling
Coordinate events such as office parties, dinners, and team-building activities
Schedule appointments for clients, RBT, and assistant supervisors
Check to ensure all sessions are filled for the day
Communicate with coworkers and directors to review agendas
Onboarding Employees
Welcome new employees into the office and get them acquainted with the
workplace
Provide and assist new employees with appropriate paperwork needed for the
first day
Demonstrate how office software is used and where to find the appropriate
records and files
Set up new employee accounts on practice management systems and Gsuite.
Onboarding Clients
Review client paperwork/add a profile in the data management
system
Intake calls with new families as needed.
Schedule initial intake appointments with families
Send onboarding paperwork to the family
Additional Duties
Use programs in Gsuite
Work with the Autonomous Behavior team to process referrals
Collect copayments and act as a liaison between clients/families and the
billing department as needed;
Collaborate and build rapport with clients and employees to improve
the likelihood of the best possible outcomes; and
Follows all policies and procedures, including but not limited to
confidentially and mandated reporting standards as the Autonomous
Behavior Clinical team sets.
Dictate meeting notes
Prepare for online workshops/training
Transcribe various forms of information and input them into the correct location
Maintain social media accounts
Assist with the departure of
employees
Job Requirements
At least one year of related experience working in a health care setting;
Familiarity with the field of autism spectrum disorder and ABA preferred;
High school diploma required. Bachelors degree preferred.
Experience working in a multi-disciplinary team setting preferred;
Computer systems fluency; ability to learn new programs rapidly;
Experience in either a recruiting, sales, staffing or scheduling role;
Strong work ethic with an attention to detail and effective communication;
Knowledge of general health insurance billing preferred but not required;
Understanding of HIPAA and adherence to all policies;
Ability to pass a background clearance and reference checks;
Works with integrity and ethically;
Demonstrates accuracy and thoroughness; and
Ability to bend, kneel, crouch, and spend time on your feet and lift items up to 25 lbs. on
occasion
