About this position:The Director of Operations manages the day-to-day operations of several divisions of the organization, coordinates county and insurance audits, and ensures compliance of all non-clinical, non-financial licenses and business filings. The Director of Operations also assists in communication and information flow among Wayside staff and executive leadership. The key responsibilities of a Nonprofit Operations Director include managing daily operations for 4 divisions at Wayside, developing and implementing policies and procedures, overseeing financial management of those divisions, ensures compliance with legal and regulatory requirements, collaborates with stakeholders, and assists in strategic planning and organizational development. 
 
Director of Operations reports to Chief Executive Officer 
 
This position has direct responsibility for: 
  • Wayside Supportive Housing Community  
  • Facilities  
  • Electronic Health Records 
  • Information Technology 
  • Compliance (non-clinical, non-financial) 
  • Coordination of county audits for the organization  
  • Coordination of insurance audits for the organization  
  • Business Filings for the organization  

Essential Functions: 
  • Oversee all Supportive Housing Operations, compliance, and facilities management of the community. 
  • Directs management of Supportive Housing staff 
  • Oversees facilities and facilities management of 4 locations 
  • Directs management of Facilities staff 
  • Negotiates contracts and manages vendor contracts including fiscal oversight of contact spends 
  • Oversees Electronic Health Records, compliance, and management of EHR staff 
  • Oversees Information Technology, compliance and management of IT staff  
  • Manages state business renewals for the organization  
  • Manages license renewals for supportive housing community, including rental renewals and supervised living facility certificates 
  • Manages food and lodging licenses for organization  
  • Leads and coordinates county and insurance audits that require compiling and submitting large amounts of data from several divisions within the organization  
  • Direct and manage the overall operational policies of their respective divisions 
  • Develop, maintain, and monitor evaluation strategies, reports, and outcome measures to assess effectiveness of services. 
  • Financial management of 4 divisions including budgeting, financial reporting, and overseeing financial controls. 
  • Collaboration with stakeholders within the organization including executive leadership, directors, program managers and staff 
  • Ensures efficiency in operations. Identifies areas for improvement and implements strategies to streamline processes by optimizing workflows and utilizing resources effectively. 
  • Compliance monitoring.  Assessing the organization’s activities and practices to ensure they align with legal and regulatory requirements. The DOO will collaborate with other departments, such as finance and human resources, to address any compliance issues and implement corrective measures when necessary.  

The Director of Operations should possess: 
  • Minimum 5 years of business management, budgetary and supervision experience 
  • Health care and/or non-profit experience highly preferred 
  • Results-proven record of exceeding goals and a bottom-line orientation 
  • Evidence of the ability to consistently make good decisions through a combination of analysis, wisdom, experience, and judgment 
  • High level of business acumen including successful P&L management 
  • Strong understanding of financial principles and practices and the ability to analyze and interpret financial data.  
  • Ability to balance the delivery of programs against the realities of a budget 
  • Ability to negotiate and renegotiate contracts,  
  • Should possess a strong assertive personality  
  • Acumen in business writing and communications 
  • Enthusiasm and willingness to perform mission driven work and promote growth of healthcare services for underserved communities 
  • Demonstrates integrity, strives for excellence in work, and has experience of leading and inspiring others to new levels of effectiveness and operational impact
