We are seeking a highly organized and detail-oriented Executive Administrative Assistant to join our remote team. The ideal candidate will have expertise in client/care coordination, insurance processes, email management, scheduling, and billing preparation. HIPAA certification is preferred.

This is a 30-hour-per-week remote position. The ideal candidate will be able to dedicate 30 focused and client-centered hours in a distraction-free environment.

Key Responsibilities:

Administrative Support:

  • Provide executive-level administrative support to the practice owner and team of speech therapists.
  • Manage and maintain calendars, schedule appointments, and coordinate meetings.
  • Handle incoming and outgoing communications, including emails and phone calls.

Insurance Coordination:

  • Understand and manage insurance verification and authorizations.
  • Communicate with insurance companies and patients to support ongoing services.

Patient Relations:

  • Handle patient intake and registration, ensuring all paperwork is completed accurately.
  • Schedule patient appointments and manage the office calendar.
  • Address patient concerns and provide information about services, etc.

Record Keeping:

  • Maintain confidential patient records and ensure compliance with HIPAA regulations.
  • Update and manage electronic health records (EHR) systems.

Qualifications:

  • Associate’s or bachelor’s degree required.
  • Minimum of 2 years of experience in an administrative role, preferably in a healthcare setting.
  • Knowledge of insurance processes and terminology is essential.
