Human Resources Administrative Assistant

Salary grade: $16.00 - $20.00 per hour 


Purpose: To provide administrative support to the Human Resources Department

Reports to: HR Manager

Exemption Status: Non-Exempt

Job Summary


To provide administrative support to the Human Resources Department by working together with the HR Director, Coordinators, Operations Director, and any department necessary to fulfill the job requirements, duties and responsibilities laid out here.


Job Requirements


  • 1-3 years administrative support experience (HR experience preferred)
  • Strong attention to detail
  • Ability to handle sensitive information in a confidential manner
  • Outstanding communication skills
  • Excellent time management skills and ability to prioritize work
  • Beginner/Intermediate Level Excel Skills
  • Proficient in MS Office
  • Minimum High School Diploma, degree in HR related field a plus
  • Knowledge of BambooHR a plus. Must be willing to learn this platform


Duties and Responsibilities


  • Electronic file creation and maintenance
  • Project assistance as needed
  • Schedule interviews with job applicants
  • Explain company personnel policies, benefits, and procedures and provide uniforms and name tags to employees during the onboarding process.
  • Prepare and set up for new employee orientations/onboarding.
  • Aid the HR Manager in administering all HR related programs/tasks such as Open Enrollment, end of year filing, quarterly assessments, etc.
  • Track job vacancies and maintain advertising and/or posting of job vacancies.
  • Monitor incoming calls to the HR department
  • Monitor RTO (Ready Training Online) program
  • Process complaints/compliments regarding employees
  • Perform CBC (Criminal Background Checks) and reference calls.
  • Update the company dashboard.
  • Maintain supplies/inventory for the Human Resources Department
  • Purchase supplies for and process Welcome Wagon cups for new employees.
  • Track and record employee data, promotions, status changes, etc.
  • Review, process and maintain data for employee benefit plans.
  • Notify/coordinate changes to various departments.
