Summary

Under the supervision of the Program Manager the Incumbent (Program Specialist) will be responsible for program reporting, tracking, monitoring, billing, inventory and some quality assurance for the E6 Outreach Program.  Incumbent will need to have good Word, Excel, web and writing skills, and be detail oriented.

Under the direction of the E6 Program Manager, the Incumbent will be responsible for:

Essential Functions

•              Maintaining the accurate weekly report of E6 Outreach activity

•              Managing and monitoring program data integrity and quality

•              Monitoring milestones and service activities for all E6 Outreach staff

•              Assist in facilitating program-related trainings for E6 Outreach staff

•              Maintain accurate documentation of activity

•              Monitor inventory and prepare regular inventory reports

•              Assist in ordering of supplies

•              Purchase supplies for the outreach teams using petty cash

•              Work in conjunction with E6 Outreach program staff to monitor file integrity

•              Prepare weekly data correction reports and disseminate them to staff

•              Preparing monthly billing statement for DHS

•              Submit weekly data reports for CES

•              Monitor, track and report Program referrals

•              Monitor, track, report and provide motel vouchers to outreach teams

•              Prepare project reports in accordance with funding requirements; maintain files/records on client services in compliance with HIPAA, 42 CFR Part 2 and other funding requirements for auditing purposes

•              Work with different operating systems such as HMIS, and CHAMP

•              Create complex Excel spreadsheets including macro enabled functions

•              Attend all related trainings and meetings

•              Maintain appropriate boundaries; maintain regular attendance; and adhere to SSG’s Code of Ethics and HOPICS’ Core Values.  Represent the Agency in a professional manner at meetings and community events. S/he will ensure that all client records/documentation are submitted or a plan arranged to send them in, if the incumbent resigns from this position

Secondary Functions

Perform other duties as assigned by their immediate supervisor and or Division Director. Provide support to administrative and data-related Information Technology Department functions.

Supervisory Responsibilities

This position does not have any supervisory responsibilities.

Minimum Qualifications - Knowledge, Skills and Abilities Required

A minimum two (2) years job related data entry and office administration experience. If applicant is in recovery, a minimum of three (3) years of being drug and alcohol free is required. Strong working knowledge of Microsoft Word, Excel, and other database programs is required. The incumbent must maintain accurate and concise documentation.  A neat and professional appearance is required at all times.  Attention to detail and punctuality are required.  You must be able to produce verification of Employment Eligibility and Background Clearance. TB test required (Not more than (3) month prior to or (7) days after Date of Hire, and renewed annually thereafter), CPR and First Aid Certification required within 30 days of employment with company and valid Driver’s License and auto insurance required. Ability to communicate effectively, both written and orally is very important.

Environmental Conditions (Working Conditions)

This position is responsible to work in “client friendly” environments. This position will require minimal interaction with homeless individuals, individuals with severe physical and mental disabilities. There is some responsibility

to work in noisy environments where children and adults are present.

Physical Requirements

The Program Specialist typically spends time sitting, standing, typing, thinking, writing, walking, driving, carrying

(max. 25 lbs), listening, speaking.

Mental Requirements

This position will require the individual to be able to handle any/all of the following: constant distractions,

interruptions, uncontrollable changes in priorities/work schedules: be able to process information, think and

conceptualize.
