Job DescriptionJob DescriptionACCOUNTS PAYABLE SPECIALIST Job Classification: Non-ExemptReports To: Assistant ControllerJOB SUMMARY: To maintain the property's account's payable function. Coordinates the direct billing function for tenants. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: NOTE: Goodman Realty Group may unilaterally change the requirements of this job description at any time. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. These include, but are not limited to, the following:

ESSENTIAL RESPONSIBILITIES:

  • Processes payment of all invoices according to a bi-weekly check run
  • Ensures proper coding with Accounting guidelines.
  • Ensures proper back-up and approvals in accordance with documented procedures
  • Verifies pricing and extensions.
  • Verifies / calculates bank account funding availability and needs
  • Completes bi-weekly cash reports after each check run.
  • Pays all invoices on the approved company schedule.
  • Ensures that all monthly contracts, leases, and utilities are paid in a timely fashion.
  • Manages all recurring payable lists and transactions.
  • Processes all checks with invoices and purchase requisitions.
  • Makes online payments and processes manual checks.

SECONDARY RESPONSIBILITIES:

  • Maintains all Vendor files, (Creation, edits and inactivity) plus any reconciliations needed.
  • Prepare credit applications and obtain W-9s from vendors
  • Files and maintains neat, organized files of all accounts payable.
  • Sets up tenant records, by reviewing lease information, into the Accounting (Yardi) system. This includes the Tenant billing schedules and all other Tenant required information.
  • Determines and coordinates for approval Late fees. Posts approved monthly late fees to tenant accounts.
  • Prepares all bills with supporting documentation for data entry into accounting system by billing deadline.
  • Issues monthly utilities billing statements to separate 3rd party billing companies, used by tenants.
  • Verifies and posts all incoming payments via checks into accounting software.
  • Verifies and posts incoming multiple bank ACH deposits to accounting system.
  • Perform other duties/projects as assigned

    • Minimum high school graduate, or equivalent.
    • Minimum of 2 years of previous experience performing the essential functions of this position.
    • Excellent planning and organizational skills.
    • Demonstrates the ability to read, write, and communicate effectively with clients and colleagues.
    • Computer literacy to include Word, Excel, Outlook, and Accounting software.
    • Strong attention to detail required.
    • Strong analytical, organizational, and time management skills required.
    • Experience with commercial real estate software such as Yardi is a plus.

    • Will have repetitive hand motions and prolonged periods of sitting.
    • Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus.
    • Prolonged exposure to viewing a computer screen
    • The employee must occasionally lift and/or move up to 20 pounds
    • The noise level in the work environment is usually low to moderate
    • Occasional driving for company purposes may be required within the metropolitan area.
