Position Summary
As an Administrative Assistant, you play a crucial role in our operations. You will supervise staff and plan, organize, and implement administrative systems. Your support is vital to ensure the efficient operation of the office. You will also be supporting supervisors and the sales team through various organizational and communication tasks. Your responsibility for handling confidential and time-sensitive material underscores the trust we place in you. Your familiarity with a variety of the field's concepts, practices, and procedures, and your ability to effectively communicate via phone and email, are key to ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. We rely on your knowledge, experience, and judgment to plan and accomplish goals, and a wide degree of creativity and latitude is expected from you.

Performance Objectives

Answer and direct phone calls
Organize and schedule meetings and appointments for the sales team
Maintain contact lists of Suppliers, Clients, warehouses, etc.
Produce and distribute correspondence memos, letters and forms
Tracking all sales and estimates on a daily basis
Assist in the preparation of regularly scheduled reports.
Develop and maintain a filing system
Order office supplies
Provide general support to supervisors and clients/customers
Provide information by answering questions and requests
Generate reports. (Weekly and monthly)
Collect all information in regard to contracts, templates, and Q.C, for weekly report
Monitor invoices, including collecting payments for all jobs, including Deposits
Maintained supplies inventory by checking stock to determine inventory level;
Maintain professional and technical knowledge, reviewing professional publications- reviews;
Contribute to team effort by accomplishing related results as needed
Carry out administrative duties such as filing, typing, copying, binding, scanning
Write letters and emails on behalf of other office staff
Schedule conference calls, training, meetings, etc.
Cover the office
Maintain computer and manual filing systems
Handle sensitive information in a confidential manner
Take accurate minutes of meetings
Reply to email, telephone, or face-to-face inquiries
Develop and update administrative systems to make them more efficient
Resolve administrative problems
Manage staff appointments
Greet and assist visitors to the office

Key Competencies

Proven admin or assistant experience
Knowledge of office management systems and procedures
Excellent time management skills and ability to multitask and prioritize work Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Proficient in MS Office
At least 2 years of experience in the field or in a related area
High school diploma or equivalent; college degree preferred

Education and Experience

  • A high school diploma or equivalent and an associates or bachelors degree are preferred.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Familiarity with office equipment (e.g., printers, scanners) and basic bookkeeping.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Customer service orientation and problem-solving skills.
  • Experience in the kitchen and countertop industry is a plus.
Physical Requirements
:
  • Ability to sit for extended periods.
  • Occasional lifting of office supplies and materials (up to 20 pounds).
