JOB TITLE: Branch Office Administrator DEPARTMENT: Administration

JOB SUMMARY: The Branch Office Administrator is responsible for support and assisting with multiple branch activities on a day-to-day basis. This position will assist in filing documents, data entry, verifying product availability, assist in scheduling trucks, inventory counting and other shipping duties. The Branch Office Administrator is responsible for the general office duties as they relate to incoming phone calls, incoming/outgoing mail and visitors.

SPECIFIC RESPONSIBILITIES:

  1. Invoice processing.
  2. Order processing.
  3. Responsible for inventory control, monthly inventory counts.
  4. Double Check orders and paperwork for accuracy as they come into the branch and leave the branch.
  5. Verification of product availability and lead time.
  6. Assist in scheduling LTL and truckload shipments, creating bill of lands.
  7. Assist with Sales coordination.
  8. Responsible for communicating with Service Technicians as needed.
  9. Perform stock transfers.
  10. Assist with rental coordination and auditing of existing rental items.
  11. Responsible for handling the office phone and taking calls from other Crown Battery locations and customers.
  12. Responsible for office supply control
  13. Be familiar and compliant with the systems, procedures, and documentation of the Crown Quality System and how it relates to the Recruiting and Employee Engagement and Crown quality objectives.

ACCOUNTABILITY: This position reports directly to the Branch Manager.

COMPETENCIES:

  • Knowledge of Logistics Systems (freight assembly, LTL and Truckload shipments) including Bill of Landings
  • Previous experience with and ERP Software system
  • Strong Microsoft Office software skills
  • Ability to move rapidly to different tasks, return to and complete open tasks in a timely fashion

EDUCATION, TRAINING AND EXPERIENCE REQUIREMENTS:

  • High school diploma or GED
  • 1 year office experience
  • Previous customer service experience is preferred

WORK ENVIRONMENT/PHYSICAL DEMANDS: This position operates in an office environment with standard office equipment and may occasionally walk the industrial plant floor. Manufacturing operations may require the use of safety equipment to include but not limited too: eye safety glasses and any other PPE. The physical demands of this position are representative of those that must be met by any employee to successfully perform the essential functions of this job.
