Advancement Coordinator

SUMMARY

Reporting to the Chief Advancement Officer, with supervision support from the Associate Director of Development and Associate Director of Marketing, the Advancement Coordinator provides administrative support for the Advancement department. This position will execute day-to-day operations for the department from data entry to scheduling social media posts, and will undertake other projects and duties as assigned.

The Advancement Coordinator plays an essential role for our Development database and helps Marketing & Communications to achieve external communication goals. They are responsible for delivering a consistent quality of service to all staff, Board members, donors and other stakeholders, contributing to an environment that promotes excellence in all operations. This includes ensuring that all contractual obligations and organization policy are always met. As part of a small but dedicated team, the Advancement Coordinator is expected to work both independently and collaboratively.



RESPONSIBILITIES

Administrative Support (40%)

  • Provides administrative support to the Advancement Department, inclusive of scheduling and coordinating virtual and in-person meetings, organizing travel, support with budget tracking, and adherence to contractual obligations
  • Manages the creation and distribution of agendas for the department and external stakeholders
  • Oversees the organization of materials, including external partnerships assets and internal organization of shared drive
  • Provides external platform administrative support, including renewals and troubleshooting
  • Supports fundraising campaigns administrative duties, such as, follow up emails, invoice submissions and tracking, fulfillment, and more
  • Develops and implements process improvements to increase impact and efficiency of department goals
  • May be required to fill in for the Executive Assistant in their absence

Development & Partnerships Support (25%)

  • Data and gift entry in Salesforce
  • Develops and sends tax acknowledgements and liaises with donors for any tax-related logistics
  • Generates Development reports for meetings
  • Manages Development and storage inventory
  • Supports administrative duties for annual fundraising campaigns
  • Conducts/supports donor and prospect research and reporting

Marketing & Communications Support (25%)

  • Manages a social media content calendar and implements the scheduling posts, using TSP approved platform
  • Liaises with Programs department to collect information for social media / external communications
  • Manages press email handle and directs requests appropriately
  • Implements social media community engagement
  • Manages social media campaign follow up communications
  • Supports the organization and development of asset management systems
  • Oversees content management systems and maintains in an organized and efficient manner
  • Coordination of photographers, videographers and any other content creators for events, inclusive of grand openings, ribbon cuttings, Supply The Ride activations
  • Maintains database of content creators

Other Duties as Assigned (10%)

  • At the discretion of the supervisor, other related duties will be assigned in support of the TSP mission.
