Are you a detail-oriented individual with a passion for providing top-notch administrative support? BHS Corrugated North America is looking for a Field Service Administrative Assistant to play a crucial role in supporting our Electrical and Mechanical Field Service Coordinators. Join our team and help ensure seamless communication and operation between our customers and our service team

Role Overview: As a Field Service Administrative Assistant at BHS Corrugated North America, you will provide essential administrative and operational support to our Field Service Coordinators. Your responsibilities will include managing schedules, preparing quotes, processing purchase orders, and ensuring effective communication between our team and our valued customers.

Key Responsibilities:

  1. Scheduling Management:

    • Monitor and update daily schedule changes, keeping both customers and technicians informed about upcoming visits.
    • Confirm jobs with customers 1 to 3 weeks in advance and verify with technicians within two days of their scheduled jobs.
  2. Operational Support:

    • Create Service Notifications and Job Assignments based on the schedule.
    • Provide accurate quotes to customers for purchase order requests.
    • Assist with document distribution including timesheets, service reports, and invoices.
    • Collaborate with our logistics team to support tool shipments.
    • Approve timesheets and expense reports.
    • Generate system reports for management analysis as required.
    • Aid in onboarding new employees by managing orders for work clothing, IT forms, and initial toolboxes.
    • Report digital platform issues to IT and support technicians with any difficulties.
  3. Effective Communication:

    • Work closely with the Electrical and Mechanical Field Service Coordinators to understand and manage ongoing and future schedules.
    • Report customer cancellations, rescheduling requests, and unexpected technician unavailability to the coordinators.

What We’re Looking For:

  • Education: High School Diploma or equivalent experience.
  • Skills: Strong communication abilities with employees and managers.
  • Customer Service: Excellent customer service skills.
  • Technical Proficiency: Experience with Microsoft Excel and Word is required. Proficiency in scheduling software and tools is a plus.
  • Independence: Ability to work independently and manage tasks without direct supervision.
  • Organization: Excellent organizational and time-management skills.
  • Attention to Detail: High attention to detail and accuracy in all tasks.
