BHS Corrugated & Robotics is seeking a Field Service Administrative Assistant to be a vital part of our support system for Electrical and Mechanical Field Service Coordinators. Your role will be essential in facilitating effective communication and operations between our clients and service personnel.

Position Summary: As a Field Service Administrative Assistant at BHS Corrugated & Robotics, you will deliver crucial administrative and operational support to our Field Service Coordinators. Your duties will encompass managing schedules, preparing estimates, processing purchase orders, and ensuring clear communication between our team and our esteemed clients.

Key Duties:

  1. Schedule Management:
    • Oversee and update daily scheduling changes, ensuring both clients and technicians are informed about upcoming appointments.
    • Confirm service appointments with clients 1 to 3 weeks in advance and verify with technicians within two days of their scheduled visits.
  2. Operational Assistance:
    • Generate Service Notifications and Job Assignments based on the established schedule.
    • Provide precise estimates to clients for purchase order inquiries.
    • Assist in distributing documents such as timesheets, service reports, and invoices.
    • Collaborate with the logistics team to facilitate tool shipments.
    • Approve timesheets and expense reports.
    • Create system reports for management review as needed.
    • Support the onboarding process for new employees by managing orders for work attire, IT forms, and initial toolkits.
    • Report any digital platform issues to IT and assist technicians with related challenges.
  3. Communication Skills:
    • Work closely with Electrical and Mechanical Field Service Coordinators to understand and manage current and future schedules.
    • Notify coordinators of client cancellations, rescheduling requests, and unexpected technician unavailability.

Qualifications:

  • Education: High School Diploma or equivalent experience.
  • Skills: Strong communication skills with colleagues and management.
  • Customer Service: Outstanding customer service abilities.
  • Technical Skills: Proficiency in Microsoft Excel and Word is essential. Familiarity with scheduling software is advantageous.
  • Independence: Capability to work autonomously and manage tasks without direct oversight.
  • Organization: Exceptional organizational and time-management skills.
  • Attention to Detail: Strong attention to detail and accuracy in all responsibilities.
