As the Home Health Administrative Assistant here is what you may expect:

Responsibilities:

The incumbent in this position performs and is responsible for a variety of functions including:

  • Taking responsibility for all incoming calls, answering multiple lines with a superior working understanding of customer service and phone etiquette.
  • Using our electronic medical record system (EMR) to assist with the intake department’s workload, including answering questions about insurance, geographical coverage areas, and whether a visit has been assigned and scheduled with a patient.
  • Using our electronic fax system (Forcura) to route documentation to correct departments and to upload appropriate documentation into our EMR system.
  • Supporting medical records department by assisting with pending approvals for signed orders.
  • Understanding and using patient charts to assume overflow work for various departments.
  • Preparing discharge documentation in support of nurse case management department.
  • Preparing documentation for authorization through use of EMR system and electronic fax system.
  • Preparing and dispatching clinician packages, including start-of-care packages, medical supplies, clinician badges.
  • Monitoring visitors, welcoming them, and directing them to appropriate colleagues.
  • Maintaining parking validation sticker inventory.
  • Receiving, sending, and routing the mail and other packages.
  • Actively taking on new responsibilities, so that the incumbent relieves other staff of unnecessary work and gains more working knowledge of the various aspects of excellent medical administrative work.

Work conditions:

  • Works in an office environment and in coordination with the intake, billing and administrative departments.
  • Work is meticulous and necessitates strong emphasis on both quantity and quality.
  • Work is fast paced and can be stressful.

Minimum Qualifications

Education:

  • High School Diploma or GED required.

Experience:

  • Excellent experience in handling multiple phone lines with supervisor customer service.
  • Excellent experience using various computer programs in addition to the
  • Microsoft Office Suite of products.
  • Job stability of at least one year minimum in all positions within the last 5 years.
  • Experience in a fast paced, professional office environment.

Skills and Abilities:

  • Must be highly proficient in PCs and able to thrive in a fast-paced setting.
  • Must have strong working knowledge of a spectrum of Microsoft Suite products.
  • Must have strong knowledge of phone operations, superior phone etiquette,
  • filing, copying, faxing, and scanning.
  • Must possess strong verbal and written communication skills.
  • Strong interpersonal and customer service skills required.
  • Must possess ability to maintain confidentiality.
  • Ability to multi-task, work well under pressure and meet deadlines required.
  • Ability to perform at elevated levels in a fast-paced, ever-changing work environment.
