The administrative assistant is responsible for overseeing and managing day-to-day operations of our GA office. The primary role is to ensure that the office functions efficiently and effectively to support the goals and objectives of the company. Due to the nature of the role, it requires Monday-Friday Onsite attendance. 


Location: Suwanee, GA

Report: Directly report to the Head of Human Resource and Admin

Job Level: Entry Level


Responsibilities:


Planning and Coordination


  • Develop and implement office policies, procedures, and workflows to optimize efficiency and productivity.
  • Coordinate and oversee various administrative functions such as office supplies, equipment, and maintenance.
  • Plan and manage office space allocation ensuring an efficient layout and utilization of resources.
  • Collaborate with department heads and team leaders to understand the needs and provide operational support.


Budgeting and Financial Management


  • Prepare and manage the office budget, ensuring cost-effectiveness and adherence to financial guidelines.
  • Monitor expenses, review invoices, and negotiate contracts with vendors to obtain competitive prices and quality services.
  • Analyze financial reports and provide recommendations to senior management for cost-saving opportunities.
  • Ensure compliance with financial policies and procedures.


Communication and Relationship Building


  • Serve as a liaison between management, employees, clients, and external stakeholders, ensuring effective communication and collaboration.
  • Facilitate meetings, prepare agendas, and distribute minutes to ensure clear and timely communication of important information.
  • Build and maintain relationships with vendors, suppliers, and service providers to ensure prompt and reliable support.


Requirement


  • 1-3 years of work experience
  • Professional and friendly demeanor with strong customer service orientation. 
  • Being able to work onsite 9am to 6pm to support office admin functions. 
  • Strong communication skills 
  • Proficient in Microsoft Suite
  • Ability to multitask and prioritize tasks.
