Essential Functions: We are looking for a dedicated and experienced Director of The Cove to oversee and manage all aspects of our campus bookstore and mailroom operations. The ideal candidate will be responsible for financial results, operations, merchandising, talent acquisition, customer service, campus relations as well as ensuring the efficient and timely processing of incoming and outgoing mail, packages, and deliveries. This role requires strong organizational skills, attention to detail, and the ability to manage a team effectively. The Director of The Cove will also be responsible for training, directing, and counseling our team to create an outstanding customer experience in addition to maintaining accurate records, implementing, and enforcing mailroom policies and procedures, and ensuring compliance with all relevant regulations. Additionally, the Director of The Cove will work closely with other departments to ensure seamless communication and coordination of mail and package deliveries while providing everything a college student desires, their parents want, and our faculty needs. The successful candidate must be knowledgeable of and a resource for all departments, model exceptional customer service, drive sales, and be a skillful problem solver. They will have a proven track record of managing operations, excellent communication skills, and the ability to work in a fast-paced environment. This is a critical role that requires a proactive and hands-on approach to ensure the smooth operation of the campus bookstore and mailroom as well as the satisfaction of all internal and external stakeholders.

Responsibilities

Bookstore

  • Execute developed business strategies and identify opportunities drive sales, increase customer satisfaction, and expand store traffic.
  • Strong delegation, follow up, and management skills to maintain outstanding visual merchandising standards, ensure availability of merchandise, maintain appropriate inventories, and complete projects in a deadline driven industry.
  • Ensure high levels of customer satisfaction and sales through effective scheduling, talent acquisition, training, and development of store team members.
  • Ability to identify creative solutions, learn independently, embrace change, and act as a change agent.
  • Analyze sales figures, interpret trends, and forecast future sales to manage all controllable costs and keep operations profitable.
  • Ensure standards for quality, customer service, and health and safety are met by providing a safe and clean store environment and implementing loss prevention measures.
  • Supervises and directs the staffing and operational activities, including sales, purchasing, pricing, receiving and distribution, inventory control, point-of-sale systems, financial management, and public relations activities.
  • Serve as liaison to eCampus,
  • Establishes and maintains relationships with suppliers, including cancelling textbook orders upon request, receiving, and verifying ordered merchandise, verifying, and submitting invoices for payment to the Business Office, and working with vendors to return items when necessary.
  • Coordinates and facilitates the online ordering, buy back, and used book programs, including the implementation and maintenance of program processes and systems.
  • Facilitates the daily closing sales activities, including the preparation of daily cash analysis for bookstore sales and accounts, posting of accounts receivable, PELL grant charges, and other third-party charges to individual accounts, and the completion of daily sales reports.
  • Coordinates and facilitates a physical inventory of all items each semester.
  • Creating, implementing, and maintaining College Bookstore operational budgets, including compliance with budgetary constraints and the forecasting, and planning of needed improvements.
  • Maintains current knowledge in the field of campus bookstore sales and management, as well as take the lead in establishing, implementing, and updating College Bookstore related policies and procedures.
  • Performs other duties as assigned, including projects, special events and committee work.

Mailroom

  • Oversee daily mailroom operations and staff.
  • Ensure timely and accurate processing of incoming and outgoing mail and packages.
  • Maintain accurate records of all mailroom activities.
  • Implement and enforce mailroom policies and procedures.
  • Ensure compliance with all relevant regulations and guidelines.
  • Coordinate with other departments for seamless mail and package deliveries.
  • Manage mailroom budget and expenses.
  • Train and supervise mailroom staff.
  • Monitor and maintain mailroom equipment and supplies.
  • Resolve any issues or discrepancies related to mail and package deliveries.
  • Develop and implement strategies to improve mailroom efficiency.
  • Ensure the security and confidentiality of all mail and packages.
  • Prepare and distribute reports on mailroom activities.
  • Handle special mailing projects and bulk mailings.
  • Provide excellent customer service to internal and external stakeholders.

Required Qualifications & Experience: Bachelor's degree from an accredited college and/or four-year university and three years of management experience, including study, analysis, and/or evaluation leading to the development or improvement of operational policies, procedures, or programs. Possess strong interpersonal, communication, and problem-solving skills to manage campus relationships and corporate initiatives while achieving customer sales and service goals. Ability to: provide leadership experience to direct and develop a workforce of student staff; plan, organize, and carry out assignments with minimal direction; analyze, interpret, summarize, and present administrative and technical information and data effectively; prepare clear and concise reports, correspondence, policies, procedures, and other written materials; interpret, apply, explain, and ensure compliance with organizational policies and procedures; analyze data and present ideas and information effectively; thrive in a fast-paced environment; and multitask effectively to handle competing priorities. The incumbent must have a demonstrated interest and/or ability in working in a multicultural/multiethnic environment. Ability to work a flexible schedule including some evenings, weekends, and holidays.
