Position Summary: Administrative Coordinator I will work closely with senior personnel and other administrative staff to perform a wide range of tasks that require judgment and the ability to multitask daily. This role is crucial in ensuring efficient operations within our administration department.

Key Responsibilities:

  • Manage a high volume of client communication.
  • Proofread and perform quality control related to company communications and reports.
  • Meet productivity and efficiency standards (billable hours).
  • Create and modify master Excel spreadsheets and templates.
  • Scan, download, and enter data into the system.
  • Assist in maintaining the database system, including creating and modifying processes and system workflows.
  • Manage administrative duties such as the scanning and electronic processing of paper documents.
  • Assist in maintaining the cleanliness of conference rooms, break rooms, and other common areas.
  • Welcome visitors by greeting them in person or on the telephone, directing them, and announcing them appropriately.
  • Work well with other team members under direct supervision.

Knowledge, Skills, and Abilities:

  • Advanced knowledge of Microsoft Office Suite (Excel, Word, Outlook).
  • Understanding and experience with network and system technical practices and procedures.
  • Experience working with customer relationship management databases and Adobe Acrobat.
  • Strong attention to detail.
  • Critical thinking and problem-solving skills.
  • Ability to maintain confidential information.
  • Superior organization skills and dedication to completing projects on time.
  • Excellent communication and time management skills.
  • Ability to read, write, and verbally communicate at a professional level.
  • Ability to perform multiple tasks in a fast-paced environment.
  • Resourcefulness and proactive approach to dealing with issues.
  • Ability to prioritize assignments/projects and multitask within restricted time constraints.
  • Ability to work independently with minimal supervision and effectively in a team environment.

Experience and Education:

  • Bachelor’s or Associate’s degree, preferably in Business Administration or a related field (previous experience can be substituted).
  • Three or more years of technical and/or administrative support experience.
  • Finance experience preferred.

Special Requirements:

  • This position requires discretion, flexibility, accuracy, and professionalism.

Physical Standards:

  • Must be alert and ready to work every scheduled shift.
  • Higher-level cognitive skills to move quickly from one task to another and attend to detail.
  • Ability to concentrate and set priorities despite distractions.
  • Speaking and hearing skills to communicate verbally by telephone, in writing, and in person in a clear, appropriate manner.
