Office Administrator/Accounting Assistant

JND Mechanical, an HVAC contracting company, is looking for an enthusiastic, customer service focused individual to join our team. This person will work to support the company in answering and routing all incoming phone calls, managing inter-office needs, and work as an assistant to the Accounting Admin. This role has a schedule of Monday-Friday 7am-4pm with occasional changes based on need.
The ideal candidate is a high-energy individual with excellent organizational skills, strong attention to detail and the ability to communicate effectively in both written and verbal communications. To thrive in this position you must be a self starter with follow through.
Responsibilities:
- Reception - Answer all inbound calls with speed and enthusiasm routing them to the correct party or assist caller with their need. Monitor, intercept, and plan for any and all office visitors.
- General Office Administration - Manage and maintain general office needs (supplies, cleanings, general repairs and maintenance coordination)
- Technology and Device Management - Assist with preparing, monitoring, repairing, and troubleshooting both released devices and internal IT needs that may arise
- Administrative Fleet Support - From an administrative point manage and upkeep fleet of 20-30 vehicles for maintenance, repairs, insurances, etc.
- Organize internal resources - Build out and maintain processes to keep files and office supplies organized and easily accessible.
- Uphold policies and procedures - Ensure process is being followed and executed consistently
- Administrative Assistance - Work closely with Accounting and Operations assisting and gaining exposure to various needs as they may arise (training opportunities for further growth)
Requirements:
- High school diploma
- 1-2 years experience as an administrative assistant, secretary or receptionist preferred
- Strong organizational, communication, and time-management skills
- Proven ability to work in a fast-paced environment
- Positive, high-energy attitude
- Resourcefulness, creativity, and problem-solving skillset
- Familiarity with office equipment (i.e. printers, fax machines, projectors)
- Proficiency in Microsoft Office (especially MS Excel and PowerPoint)
- Familiarity with Quickbooks/accounting software
