About the Role:

Were on the hunt for a dynamic Facility Coordinator to join the hive on behalf of our clients. This full-time role is based in Addison, Texas, with weekly visits to a second office in Dallas. The successful candidate will support and assist the Regional Facilities Manager and team, focusing on operational excellence and continual improvement. If you have a problem-solving ability and a can do approach with flexibility to provide consistent service in a continually changing environment, we want to meet you

Your Mission:
  • Act as one of the first points of contact for staff and guests, including property management, vendors, and building security
  • Oversee Facility operations to ensure exemplary customer/employee service in our Addison and Dallas offices (amenities, meeting events, etc.)
  • Plan and coordinate new hire seating assignments and internal staff moves
  • Manage and maintain the floor plan software (Centerstone)
  • Oversee Facilities emails and ensure customer service
  • Inspect space daily to identify general corrective maintenance, report deficiencies, and recommend areas for improvement
  • Partner with the Landlord and input maintenance tickets as needed
  • Oversee vendors and ensure work is completed to satisfaction
  • Oversee the building maintenance Janitorial program, confirming work is completed as per lease
  • Oversee and maintain the First Aid & Fire Warden program
  • Partner with the Global Workplace Security team
  • Ensure safety standards are implemented and followed throughout the office
  • Provide support on purchasing and supply ordering
  • Develop standardized processes and update procedure documentation
  • Oversee operations at the secondary site in Dallas
  • Attend all training on new systems and procedures
  • Participate in the Health & Safety committee and monthly inspections
  • Assist with special projects and other duties as assigned by Management
  • Prepare reports, update records, and documents
  • Perform departmental administration activities as required
  • Proactively initiate process improvement initiatives
  • Oversee and coordinate special events and large meetings in the office
  • Actively participate in Fire drills
  • Provide Reception coverage as needed
What You Bring:
  • Bachelor's degree in a relevant field (preferred)
  • Experience in facility coordination or a related role
  • Strong problem-solving ability and a can-do approach
  • Flexibility to provide consistent service in a continually changing environment
  • Excellent organizational and multitasking skills
  • Strong communication and interpersonal skills
  • Proficiency in facility management software (Centerstone preferred)
  • Ability to work independently and take initiative
Additional Requirements:
  • Must be a United States citizen or authorized to work in the United States.
  • Must be at least 18 years of age.
