Job Description:

We are looking for a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior management. If you have outstanding communication and technical skills, can handle multiple tasks simultaneously, and are fluent in Spanish and English, we want to meet you

Requirements

Responsibilities: In this role, you will have several primary responsibilities, including:

  • CEO Assistant: Operates as the CEO's direct communication representative to all staff.
  • Meeting Management: Prepare meeting agendas, handle logistics, and ensure the CEO is fully prepared for all her meetings.
  • Communication: Act as a liaison on behalf of the CEO, facilitating internal and external communications.
  • Email Management: Efficiently manage the CEOs emails, ensuring prompt responses and organizing communications.
  • Administrative Support: Assist with administrative tasks such as appointment scheduling, research, and document preparation.
  • Calendar Management: Maintain and organize the CEOs calendar, managing appointments and deadlines.
  • Client Support: Provide support in serving our clients by assisting with inquiries, documentation, and related tasks.
  • Special Projects: Assist with various projects as needed to support our mission of helping New Americans.
  • Clerical tasks: perform clerical tasks utilizing knowledge of office systems and procedures. Types letters, correspondences, reports and presentations as needed.

  • Compassion, Empathy and Honesty: Demonstrated understanding and empathy for the immigrant experience.
  • Bilingual: Must read, speak and write both English and Spanish.
  • Technology Proficiency: Familiarity with office software and tools for efficient task management.

Requirements:

  • Education: Bachelor's degree preferred.
  • Experience: 2-5 years of experience in an administrative support role.
  • Location: Virtual but able to meet weekly and quarterly in our New Jersey office.
