Reporting to the Controller, the Senior AR Specialist is responsible for managing the complete billing cycle and accounts receivable functions for the company, ensuring timely and accurate invoicing, and leading the billing team. This role involves preparing complex monthly professional service invoices, including both fixed fee and percentage completion as well as hourly-based billing. The Senior AR Specialist will lead monthly billing meetings with Project Managers, ensure all necessary information is procured in a timely manner, and issue accurate and complete invoices by the scheduled due dates. This role also involves tracking billing variances and write-offs, setting up billing terms per contract in the ERP system, and ensuring accurate recordation of client payments.

Additionally, the Senior AR Specialist will manage accounts receivable, including following up with clients for collections and resolving any related issues. The position requires expertise in accounting terminology, transaction codes, and billing and project cost tracking procedures in an ERP environment for the professional service industry. This job is Temp to Perm and onsite daily.

DUTIES AND RESPONSIBILITIES:
  • Oversee the setup of project files, billing terms, and related information in Deltek Vision.
  • Generate and distribute General Time Reports bi-weekly to Project Managers and perform labor transfers as directed.
  • Prepare and review client billings using Deltek Vision and supporting reports and schedules.
  • Generate final billing reports for Project Managers and management.
  • Create and distribute monthly invoices to clients.
  • Collaborate with Project Managers and external clients on contract billing matters.
  • Analyze and enter subcontractor/consultant invoices in Deltek Vision per agreements.
  • Ensure accurate recordation of client payments to the correct projects.
  • Manage month-end close and revenue generation in the billing module.
  • Track resource utilization in Deltek Vision and ensure accurate documentation.
  • Train Project Managers on Deltek Vision procedures.
  • Prepare special project accounting reports as needed.
  • Address internal and external billing inquiries and review aging receivables for resolution.
  • Monitor receivables reports and escalate issues to prevent billing delays and past-due accounts.
  • Submit invoices to third-party payment processing platforms and resolve related issues.
  • Identify and implement process improvements for efficiency and accuracy.
  • Support system enhancements and implementation testing.
  • Assist with yearly audit requests by providing supporting documentation.
  • Serve as the subject matter expert in the project billing process and guide business partners.
  • Handle ad hoc requests and additional duties as needed.
  • Manage accounts receivable, including proactive client follow-up for collections.
  • Resolve accounts receivable and collection issues to ensure timely payments.

QUALIFICATIONS:
  • Bachelor's degree in Accounting, Finance, or a related field.
  • 5+ years of hands-on billing and AR experience in a corporate environment.
  • Prior experience in professional services (e.g., public accounting, management consulting, or advisory firm) is strongly preferred.
  • Proficiency in ERP systems (Deltek Vision preferred), CRM systems, and resource management applications.

  • Advanced proficiency in Microsoft Excel.
  • Strong analytical skills and attention to detail.
  • Excellent oral and written communication skills.
  • Proven ability to identify process inefficiencies and implement effective solutions.
  • Strong organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
  • Excellent interpersonal skills, capable of collaborating with cross-functional teams and addressing client inquiries.
  • Problem-solving mindset with the ability to proactively identify process inefficiencies and implement effective solutions.
