Job Summary:

To support application engineers and project managers in gathering, maintaining, and distributing information related to quotations, projects and 3rd party vendors.

Essential Functions:

  • Create project quote in project managing software
  • Create project quote/job folder
  • Do contract review of PO and update ISG project list with new order in coordination with Applications
  • Assist project manager with maintaining/ updating project quote/job folder
  • Upon receipt of PO, enter SAP order, issue order acknowledgement to customer
  • Assist project manager as needed to finalize order entry
  • Schedule and document notes during order entry meeting
  • Make revisions to sales order as needed from order entry meeting
  • Assist with drawing package generation and issuance
  • Issue project submittals for approval (electronic / paper copy)
  • Assist project manager with maintaining project in project managing software
  • Coordinate schedule of installation crews and support crews on site with parts ordering
  • Coordinate schedule with service department for startup planning
  • Manage ongoing project needs with project manager
  • Assist project manager with project completion statement
  • SAP full order entry
  • Manage simple sales orders under the direction of the ISG System Services Manager
  • Interface with 3rd party vendors
  • When needed request vendor quotes / quote updates related to project quotations and projects
  • Create / maintain quote and purchase requisitions templates
  • Create / maintain purchase requisition for PO’s
  • Issue PO request to Purchasing Department
  • Work with Purchasing Department and maintain Project folder’s vendor folder with PO acknowledgements and tracking information.
  • Maintain sale order vendor ship dates in SAP
  • Create / update Ship list of manufactured and vendor items
  • Obtain vendor manuals/documentation
  • Maintain Vendor folder in Project folder
  • Maintain project schedule with vendor ship dates, track shipping, generate shipping lists
  • Generate / maintain 3rd party billing report from SAP
  • Marginal Functions: As a secondary role the project coordinator will assist the application engineers and project managers with the following functions
    • Minor quote revisions
    • Create project schedule
    • Obtain customer confirmation of readiness during project

Qualifications :

• Good communication skills

• Ability to speak, read and write in the English language.

• High School Diploma/ GED Required

• 3-5 years in related industry/ position (Industrial Machinery)

• Great organization skills

• Proficient in Microsoft Suite, PowerPoint, SAP, Adobe Acrobat, CRM

• Team oriented working in a fast-paced environment

• Related experience/education in Procurement
