Job Description:

The Document Control Manager is responsible for overseeing the efficient management, organization, and control of all project-related documents, including drawings, specifications, contracts, correspondence, and other project documentation. This role ensures that documents are accurately recorded, stored, and distributed to relevant parties while maintaining compliance with project and industry standards.

Major Roles and Responsibilities:

The roles and responsibilities include but are not limited to:

  • Document Management:
  • Establish and maintain a document control system to track, categorize, and store all project documents. Ensure that all project documents are accurately labeled, version-controlled, and easily retrievable.
  • Document Distribution: Distribute project documents to the appropriate stakeholders, including contractors, subcontractors, architects, engineers, and other team members. Track and confirm document receipt and acknowledgment from recipients.
  • Quality Assurance: Review project documents for accuracy, completeness, and adherence to project and industry standards. Identify and report discrepancies or errors in project documentation for correction.
  • Version Control: Manage document revisions and ensure that the latest versions are always available to project team members. Archive and maintain historical project documents as required by regulations and company policies.
  • Compliance: Ensure that project documents comply with regulatory requirements, industry standards, and contractual obligations. Assist in preparing and maintaining project-specific document control procedures and guidelines.
  • Security and Confidentiality: Implement and maintain document security measures to protect sensitive and confidential information. Control access to restricted documents and ensure proper authorization.
  • Training and Support: Provide training and support to project team members on document control procedures and systems. Address questions and concerns related to document management.
  • Reporting: Generate regular reports on document control activities, including document distribution, revisions, and discrepancies. Report any issues or challenges to project management for resolution.

Minimum Qualification and Experience:

  • Bachelor's degree in a relevant field (construction management, engineering, or business) is preferred.
  • Minimum 5 years of experience in document control within the construction industry is highly desirable.
  • Proficiency in document management software and tools (e.g., Documentum, Procore, SharePoint, etc.).
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.
  • Knowledge of construction industry standards, regulations, and terminology.
  • Ability to work effectively in a fast-paced, dynamic construction environment.
