Job Description:

As a Documentation Support Specialist, you will be instrumental in organizing and maintaining critical documentation, ensuring that information flows efficiently and is readily accessible for decision-making and compliance purposes.

Major Roles and Responsibilities:

The roles and responsibilities include but are not limited to:

  • Document Control: Establish and manage a comprehensive document control system to track and organize records efficiently.
  • Version Management: Ensure proper version control for all documents, making certain that the latest revisions are available to relevant stakeholders.
  • Collaboration: Facilitate collaboration among teams by establishing effective document-sharing mechanisms and platforms.
  • Quality Assurance: Conduct regular audits of documents to ensure accuracy, completeness, and compliance with organizational standards.
  • Training Support: Assist in developing and delivering training materials related to document management procedures.
  • Process Improvement: Identify opportunities for process improvement in documentation workflows and implement effective solutions.
  • Communication: Communicate document control policies and procedures to internal teams, fostering a culture of compliance.
  • Metadata Management: Implement and manage metadata for efficient document retrieval.
  • Archiving: Develop and oversee archiving processes for historical documents and records.

Minimum Qualification and Experience:

  • Bachelor's degree in a relevant field.
  • Proven experience in document control or records management.
  • Familiarity with document management systems.
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy.
  • Proficiency in document management software.
