General Summary:

We are seeking a detailed individual to join our team as a Safety & Training Specialist. In this dual-role position, you will be responsible for supporting the daily administrative operations of the Safety Department while also assisting the Training Team in developing effective training programs. The ideal candidate will possess strong organizational skills, a keen eye for detail, and the ability to create engaging presentations and training materials. Also fluent in Microsoft Office Programs and have some graphic design background. Overall, 50/50 administrative/clerical role vs. being creative while using the Hooper design principles.


Principal Accountabilities:

  • Daily administrative duties in web-based safety management system updating and tracking safety records include working with team members on entering drug tests, exporting, reviewing, and sending safety reports to management for weekly analysis.
  • Collaborate with the Safety and Technical Training Manager to design, develop, and update safety training such as Weekly and Monthly Safety Talks and presentations.
  • Use a variety of software and tools to help translate training documentation. Work with voiceover and AI technology.
  • Manage all training assignments for Hooper including internal training and cliental websites.
  • Assistance with the new hire process includes being able to answer computer training questions, gathering information for new hires throughout orientation and working with safety specialists team to make sure new hires have the appropriate safety gear.
  • Maintain and update training records and databases, ensuring all employee training is properly documented.
  • Help manage collection of paper forms not in safety management system such as JSA’s, receipts, daily inspection logs, etc. Communicate on these items to field supervisors and safety team.
  • Help schedule and coordinate training sessions, including arranging logistics, communicating with participants, and preparing training venues.
  • Assist in the evaluation of training effectiveness and suggest improvements based on feedback and assessment data.
  • Prepare and distribute safety communications, newsletters, and updates to all employees.
  • Assist with the ordering and managing for inventory of safety equipment and supplies.


Description of physical working environment:

  • Normal office environment. Routinely works from a sitting position with a computer. Repetitive typing and computer use required. Regular bending, twisting, and light lifting is common.
  • Occasional visits to project sites, shops, and fleet areas on a need basis.
  • Ability to lift 25-35 pounds occasionally, with or without reasonable accommodation.

Requirements:

Knowledge, Skills & Abilities Required:

  • High school diploma or equivalent required; associate or bachelor’s degree in a related field preferred.
  • Previous experience in an administrative role, preferably within a safety or training department.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Experience with graphic design or video editing software is a plus.
  • Ability to work both independently and collaboratively in a team environment.
  • Meticulous with a commitment to accuracy and quality.
  • Familiarity with safety regulations and training best practices is desirable.
