Job Summary:

The Office Assistant will be responsible for providing administrative support to ensure the efficient operation of the office. This role involves handling various tasks such as managing office supplies, coordinating meetings, handling incoming calls, and assisting with general office organization.

Key Responsibilities:

  1. Reception and Front Desk: Welcome and assist visitors, answer incoming phone calls, and manage the front desk with professionalism and courtesy.

  2. Office Organization: Maintain a clean and organized office environment, including arranging office supplies, managing inventory, and ensuring proper storage of documents.

  3. Calendar Management: Assist in scheduling appointments, meetings, and events, and notify staff of upcoming commitments.

  4. Mail Handling: Collect, distribute, and process incoming and outgoing mail. Manage courier services as needed.

  5. Meeting Coordination: Assist in the coordination of meetings and events, including room setup, preparing materials, and arranging catering.

  6. Data Entry: Enter and update data in various systems, spreadsheets, and databases as required.

  7. Document Preparation: Assist in preparing and formatting documents, reports, and presentations.

  8. Communication Assistance: Draft and proofread emails, memos, and other written communication as needed.

  9. Travel Arrangements: Assist in making travel arrangements for staff, including booking flights, hotels, and transportation.

  10. General Administrative Support: Provide general administrative support to various departments as required, contributing to the overall efficiency of office operations.

Qualifications:

  • High school diploma or equivalent. Additional education or certification in office administration is a plus.

  • Proven experience as an Office Assistant or in a similar administrative role.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.

  • Strong organizational and multitasking abilities.

  • Excellent communication and interpersonal skills.

  • Detail-oriented with a high level of accuracy.

  • Ability to work independently and collaboratively in a team environment.
