The Procurement Specialist must maintain vendor relationships, authorize product purchasing, and oversee processes within the Sales Team and Advisory team. The Procurement Specialist also supports the Sales/ Technical Team with daily activities not limited to the following: maintain opportunities, assist in generating quotes, process sales through ConnectWise workflow.

As a Procurement Specialist, you will:

  • Procurement System Management
    • Responsible for managing ConnectWise, a professional services automation (PSA) tool
    • Manage the procurement processes related to ConnectWise, including license agreements, vendor relationships, and assisting with vendor contract negotiations
    • Maintain accurate records of ConnectWise procurement activities and expenses
    • Provide regular updates to internal stakeholders on ConnectWise-related procurement activities and progress
    • Monitor sales activity in ConnectWise and assist the sales and account management team where needed.
    • Understand processes in ConnectWise by completing assigned training materials and blueprints on the ConnectWise University
  • Purchasing & Inventory Operations
    • Manage day-to-day procurement operations for the Managed Services team, including documenting processes, creating quotes, ordering product, and managing service tickets
    • Manage hardware and software resell activities for the Managed Services team, including license management/renewals, software, and hardware
    • Utilize purchasing system for procurement of products
    • Lead the procurement process including creating product quotes, sales agreements, proposals, and purchase orders
    • Maintain data integrity in Firm systems
    • Authorize and maintain product listing and product inventory with price and cost information in ConnectWise
    • Purchase all licensing and hardware including but not limited to: Microsoft, Cisco, VMware, laptops, and peripherals
    • Verify and keep records on incoming and outgoing shipments of products
    • Stock products in warehouse and release to customers as needed
    • Perform the Return Merchandise Authorization (RMA) process to procure replacement products from manufacturers and vendors or refunds
    • Schedule and lead weekly sales meeting ensuring sales opportunities are handled appropriately and timely
    • Serve as liaison with other departments in the company to gather documentation and data for supporting the Sales Team.
    • Collaborate with finance and accounting teams to ensure accurate and timely revenue recognition and reporting for Managed Services product activities
    • Contribute to shared responsibilities that support local office operations.

What you Bring to the Table:

  • Strong understanding of ConnectWise or similar PSA system
  • Have or be able to quickly gain proficiency in ConnectWise, Microsoft Office, Dynamics CRM, STAR, Beanworks
  • Knowledge and experience in cross-functional management methods and techniques.
  • Knowledge of industry applications, processes, software, and equipment.
  • Strong organizational, presentation, and customer service skills.
  • Skill in planning and preparing written communications.
  • Interpersonal skills: such as telephone skills, communication skills, active listening and customer-care.
  • Ability to multi-task and adapt to changes quickly.
  • Ability to work in a team and communicate effectively.
  • Service awareness of all organization’s key services for which support is being provided.
  • Understanding of support tools, techniques, and how technology is used to provide services.
  • Typing skills to ensure quick and accurate entry of service request details.
  • Self-motivated with the ability to work in a fast-moving environment.
  • Technical awareness: ability to match resources to technical issues appropriately.

The range for this position is $25.00 to $29.81 per hour.
