Job Description

Accounting Specialist


Reports to:  Controller

Hours per week: 40 minimum

Hourly

 

  1. General Summary of the Position

Perform tasks involving multiple accounting processes including, but not limited to accounts payable, accounts receivable and payroll. Perform any combination of routine calculating, posting and verifying duties to obtain primary financial data for use in maintaining accounting records.  Enter daily time sheets. Prepare timely and accurate financial statements and reports.

 

  1. Essential Functions
    1. Review documents such as purchase orders, work orders, sales tickets, etc. to compute fees or charges due. Calculate Sales & Use Taxes.
    2. Enter new customer accounts and vendors into the computer system. Compute credit terms, discounts, shipment charges, and rates for products sold to complete billing documents. Validate and process credit authorizations.
    3. Perform bookkeeping work, including posting data or keeping other records concerning costs of goods or shipment of goods. Check figures, postings and documents for correct entry and mathematical accuracy. Resolve discrepancies in accounting records.
    4. Prepare and enter payable invoices, including posting data and keeping other records concerning costs of services. Keep records of invoices and supporting documents. Print checks on Wednesday, file paid invoices and mail checks on Friday.
    5. Track supply inventory by receiving materials ordered and prepare invoice for payment. Control inventory levels; conduct physical counts.
    6. Receive and record cash/checks and prepare daily deposits; reconcile weekly to General Ledger spreadsheet.
    7. Contact customers to obtain or relay account information.
    8. Compile and record employee time and payroll data. Compute and reconcile employees’ time worked; post wages and deductions and schedule bi-weekly payment of payroll taxes. Assist with computing commissions, as needed.
    9. Assist as needed with internal financial audits and working with external accountants.

 

  1. Knowledge, Skills and Abilities
    1. Excellent knowledge of accounting principles and practices, specifically accounts receivable, accounts payable, payroll, general ledger and periodic reporting.
    2. Excellent computer (Visual EstiTrack, Visual Books, Word and Excel) and math skills.
    3. Excellent English communication skills and ability to receive/convey information from/to co-workers, management, vendors and customers efficiently and in a courteous and professional manner.
    4. Good organizational and problem-solving skills; detail oriented.
    5. Conform with and abide by all federal, state and company policies, procedures and regulations.
    6. Ability to work independently, with integrity as well as cooperatively to complete daily activities according to work schedule.
    7. Ability to work on several different projects at one time.
    8. Conform to all safety rules and use all appropriate safety equipment, as needed.
    9. Perform other duties as assigned.

 

  1. Education, Training and Experience
    1. High school diploma required; Business or accounting 2-year degree preferred.

 

  1. Work Context
    1. Attend work as scheduled and on time.
    2. Regular communication with co-workers, management, vendors and customers; includes face-to-face, e-mail and phone.
    3. Maintaining continuous accuracy and attention to detail is extremely important in performing this job.
    4. This position requires working indoors at a desk for most of the workday; may occasionally need to verify materials, work orders, schedules, time sheets, etc. with co-workers in the shop.
