As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of our executive functions. You will manage schedules, coordinate events, and handle a variety of administrative tasks, including document preparation and research. Your role will also involve overseeing special projects, maintaining confidentiality, and assisting with HR and office tasks.

Duties and Responsibilities:

  • Provide comprehensive  administrative support to the CEO and executive team, including calendar management, appointment scheduling, and travel arrangements.
  • Organize and manage company events, including meetings and conferences.
  • Prepare and distribute reports, correspondence, and other materials.
  • Conduct research, compile data, and act as a liaison between the CEO and stakeholders.
  • Coordinate and oversee special projects.
  • Maintain confidentiality of sensitive information and handle confidential matters with discretion.
  • Assist with various HR tasks, such as  creating training videos and check distribution.
  • Manage weekly mail, office organization, and supply orders.
  • Track key performance indicators (KPIs)
  • Maintain active sheet archive and conduct research related to archived documents. 
  • Manage city license renewals, fleet tracking, insurance audits, safety reporting and compliance reports.
  • Conduct accounts receivable auditing using Smartsheet. 
  • Archive QBT job codes and data in Paychex. 
  • Manage customer investigations and complaints. 
  • Assist with the setup of iPads and phones for company use.
  • Assist with pre-lien processes.
  • Assist in delivering sundries to job sites as required.
  • Other duties as assigned. 

 

Requirements:

  • Proven experience as an executive assistant or similar role
  • Excellent organizational and multitasking skills
  • Strong communication and interpersonal abilities
  • Proficient in office software and tools (e.g., Microsoft Office, Smartsheet)
  • Ability to maintain confidentiality and handle sensitive information
  • Reliable transportation
  • Ability to accommodate a hybrid work schedule to complete tasks in the office and in the field. 
  • Local to San Luis Obispo County
  • Bilingual preferred
