Summary
The Public Program Coordinator is an integral team member of the Creativity and Learning
Department who coordinates all aspects of the Public Programs including but not limited to
administrative responsibilities and also, technical riders and logistics day-of. The Public
Programs Coordinator reports to the Director of Creativity and Learning and works
collaboratively to plan and execute an array of diverse Public Programs at SITE SANTA FE
including talks, performances, dance, and music. Evening and weekend hours are required.
Responsibilities:
 Support the Director of Creativity and Learning in the planning, coordination, and
execution of all Public Programs and live activations at SITE SANTA FE.
 Responsible for all administrative responsibilities connected to the Public Programs
including:
 Communicate with the presenters about their program, timelines, expectations,
etc.
 Prepare, send, and receive contracts with presenters, and ensure timely
payment.
 Coordinate all travel and accommodation for presenters coming from outside of
Santa Fe.
 Set up ticketing links on the SITE SANTA FE website, and monitor and report on
ticket sales.

 Compile biographies and headshots of presenters for External Affairs’s
promotional efforts.
 Coordinate and plan other department needs in support of the Program (i.e.
Facilities).
 Create run-of-show documents for each program and disseminate the
information to all staff

 Coordinate and layout tech riders and a production plan for each program, including
assisting with presenter media such as PowerPoint or videos and facilitating sound
checks, as needed
 Work with the Director of Creativity and Learning to coordinate contract labor, AV
staffing needs, and other staffing needed for each of the Public Programs
 Print and set-up signage at each of the Public Programs as well as setting up and
breaking down the presentation space.
 Manage the will-call list and tickets for each event and present at each Public Program
to support and troubleshoot.
 Participate in weekly department meetings, and provide production updates to staff.
 Perform other support tasks for Public Programs, as needed.
 Support other departments with the logistics of live programming as needed, such as
annual benefits and other membership-related events.
Qualifications
1. At least 3 years of experience working in administration, museums, public programming, or
related fields.
2. At least 1 year of experience working in a production setting.
3. Strong organizational skills, and a strong attention to detail.
4. Excellent interpersonal skills, and the ability to communicate well with others.
5. Ability to prioritize and manage time, multitask, take initiative, and meet deadlines in a fast-
paced environment with rapidly shifting priorities.
6. Must be a self-starter and creative problem solver.
7. A high degree of computer literacy and competency in the Google and MS Office suites.
8. Ability to work collaboratively with staff and maintain a high degree of professionalism in a
dynamic and creative setting.
9. Available to work nights and weekends as needed to support public programs and events.
