The Contract Administrator/Specialist is responsible for the preparation, negotiation, and management of contracts with clients, vendors, and other stakeholders. This role involves ensuring compliance with legal and regulatory requirements, mitigating risks, and supporting the organization's strategic objectives through effective contract management. The Contract Administrator/Specialist works closely with sales, client management, legal, procurement, finance, and other departments to streamline contract processes and enhance operational efficiency.


  1. Deliver and Execute (70%) - The Contract Administrator/Specialist role will focus on drafting contracts in collaboration with business leaders; Negotiating contract terms with involved parties; Overseeing contract management processes; Conducting risk assessment associated with contract terms; Monitoring parties' compliance to contract terms; and Serving as a liaison with internal and external stakeholders.

Responsibilities

  • Draft contracts, amendments, renewals, non-disclosure agreements (NDAs), business associate agreements (BAAs) and negotiate contract terms with clients and vendors.
  • Monitor contract performance and compliance, ensuring all parties fulfill their contractual obligations.
  • Manage contract change notices, renewals, amendments, and terminations.
  • Ensure all contracts comply with company policies, applicable laws, regulations, and industry standards.
  • Manage the contract processes for RFPs.
  • Develop and implement standardized contract management processes and templates.
  • Maintain an organized system for managing and tracking all contracts and related documents
  • Implement and utilize contract management software and tools to streamline contract administration.
  • Identify opportunities for process improvements to enhance efficiency and effectiveness in contract management.
  • Maintain accurate records of all contracts and related correspondence.
  • Prepare regular reports on contract status, compliance, and performance metrics.
  • Ensure documentation is complete, accurate, and accessible for auditing purposes.
  • Serve as a liaison and provide guidance and support to sales executives, account executives, proposal managers, and senior management for all contract related issues.
  • Liaise with the legal department to resolve any legal issues or disputes arising from contracts.
  • Support legal department with conflict resolution processes.
  • Monitor changes in laws and regulations that may impact contract management.
  • Identify and mitigate potential risks associated with contracts.
  • Ensure appropriate risk management clauses are included in contracts to protect the organization's interests.
  • Conduct risk assessments and provide recommendations for risk mitigation.
  • Serve as the primary point of contact for internal and external stakeholders regarding contract matters.
  • Communicate contract status, key milestones, and potential issues to relevant stakeholders.
  • Other duties as assigned

Required Expertise

  • Bachelor's degree in Business Administration, Law, or a related field.
  • Previous experience (3+ years) in contract administration, legal, or procurement roles.
  • 5+ years of experience in healthcare contracting specific to pharmacy benefits.
  • Strong understanding of contract law, legal terminology, and contract management best practices.
  • Strong knowledge of business financial practices.
  • Strong analytical and problem-solving abilities.
  • Attention to detail and high level of accuracy in documentation.
  • Excellent writing and organizational skills.
  • Excellent interpersonal and communication skills (ability to explain contract terms in simple, everyday language).
  • Advanced negotiation skills.
