This position is grant-funded and contingent upon continued funding


PRIMARY FUNCTION/JOB PURPOSE


Under direct supervision of the Prevention Services/Early Childhood Home Visiting Program Director provides administrative support for meeting MIECHV grant requirements and general administrative support to assure effective and efficient program operations. This position operates within The Up Center’s mission, vision, and values, which are incorporated in all aspects of job performance, according to The Up Center and Prevention Services policies and procedures and culturally informed best practice standards.


ESSENTIAL RESPONSIBILITIES

  • Provides administrative support for the implementation of Parents as Teachers, including coordination of PAT Group Connections and maintaining PAT supplies and home visiting kits.
  • Perform periodic reviews and audits in collaboration with the Director to ensure key targets are met.
  • Assist with completing Prevention Services monthly reports, ensuring accuracy, timely submissions, and tracking key data points.
  • Collaborate with the Director and Management to track data, and create spreadsheets, tables, graphs, and other tools to maintain and report data matrix.
  • Provides administrative support for data entry into the MIECHV database system.
  • Ensures data entered by MIECHV direct services staff are completed accurately and promptly.
  • Enters data into the MIECHV database system.
  • Represents the organization and its services in a professional, competent, and responsive manner.
  • Responds promptly to phone calls and e-mail messages.
  • SharePoint access and entry of required information.
  • Perform quality assurance responsibilities to ensure compliance with program performance requirements.
  • Perform random program audits on data systems, case files, peer-to-peer, and other quality assurance measures.
  • Other duties as assigned.
Requirements:


QUALIFICATIONS

  • Associate degree preferred.
  • Proven track record in administrative support.
  • Self-motivated, energetic, with exceptional customer service skills, and a team player.
  • Ability to communicate effectively both orally and in writing with proficiency in English.
  • Excellent organizational, interpersonal, telephone, communication, and accurate documentation skills.
  • Must demonstrate the ability to manage details including spelling, grammar, proofreading, and mathematical calculations.
  • Ability to learn MIECHV’s and The Up Center’s database systems.
  • Ability to manage multiple priorities and meet scheduled deadlines.
  • Demonstrates flexibility and cooperation in performing job responsibilities.
  • Proficiency in Microsoft Office (Word, Excel, and Outlook).
  • Demonstrated ability to interpret and apply data, key indicators, and outcomes related to grant requirements.

REQUIRED TRAINING

  • Parents as Teachers F1 and Model Implementation suggested.
  • MIECHV Database Training, including Penelope, Visit Tracker, Power BI, and other related data systems.
  • Ongoing Microsoft Office training.
  • All company-sponsored training.

  • Ability to sit for reasonable periods, climb stairs, use bilateral manual dexterity and fine motor skills, and lift or move up to 10 pounds.
