Position Overview: As a Front Desk Receptionist/Customer Service representative at Eximius Associates, you will be the first point of contact for visitors and clients. You will be responsible for managing front desk operations, handling customer inquiries, and ensuring a smooth and professional experience for everyone who interacts with our company. The ideal candidate will be organised, personable, and capable of handling various administrative tasks efficiently.

Key Responsibilities:

  • Greet and welcome visitors and clients with a friendly and professional demeanor, directing them to the appropriate department or person.
  • Answer and manage incoming phone calls, providing information, transferring calls, or taking messages as needed.
  • Handle customer inquiries and concerns with professionalism, offering solutions and resolving issues promptly.
  • Perform general administrative tasks such as scheduling appointments, managing email correspondence, and maintaining office supplies.
  • Process incoming and outgoing mail and packages, ensuring timely and accurate delivery.
  • Maintain an organised and tidy front desk area, ensuring it is presentable and well-stocked.
  • Assist with preparing and coordinating meetings, including arranging meeting rooms and providing refreshments as required.
  • Support the team with various office tasks, including data entry, filing, and record-keeping.
  • Adhere to all company policies, procedures, and security protocols to ensure a safe and secure environment for employees and visitors.
  • Provide exceptional customer service, contributing to a positive and professional company image.

Qualifications:

  • Previous experience as a receptionist or in a customer service role is preferred.
  • Excellent communication and interpersonal skills.
  • Strong organisational skills with the ability to multitask and manage time effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
  • Ability to handle confidential information with discretion and professionalism.
  • A positive attitude and a commitment to providing outstanding customer service.
  • High school diploma or equivalent; additional qualifications in office administration or customer service are a plus.
