Job Title: Administrative Coordinator - Construction

Oxford Builders Inc is a leading construction company dedicated to delivering high-quality projects with integrity and excellence. As we continue to grow, we are seeking a detail-oriented and organized Administrative Coordinator to join our team.

Position Overview: We are looking for an Administrative Coordinator to provide administrative support to our construction team and ensure the smooth operation of our office. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for supporting construction projects from inception to completion.

Responsibilities:

  • Assist in the preparation and organization of construction project documentation, including COI, Contracts, Change Orders, etc.
  • Coordinate meetings, appointments, and site visits for project managers and construction teams.
  • Manage and maintain project-related files, records, and correspondence.
  • Assist in the processing of invoices, expense reports, timecards.
  • Liaise with General Contractors, vendors, and suppliers to ensure timely delivery of materials.
  • Monitor project timelines and deadlines, alerting project managers to any potential delays or issues.
  • Prepare and distribute project status reports and updates to internal stakeholders.
  • Assist with general office duties, such as answering phones, greeting visitors, and managing office supplies.

Requirements:

  • Previous experience in an administrative role within the construction industry is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and construction management software.  Quickbooks (required)
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with all levels of staff, clients, and vendors.
  • Detail-oriented and thorough, with a commitment to accuracy and quality.
  • Ability to work independently with minimal supervision and as part of a team
  • High school diploma or equivalent; additional certification or training in construction management or administration is a plus.
  • Bilingual - Spanish required
