Job Description: Reporting to the Director, this full-time 9 month position oversees the daily operations of Student Health Services from mid-August through mid-May. This position requires collaboration, problem solving, and communication with the public, staff, and faculty of the university. The candidate must have a high level of comfort working with college-aged students, strong communication skills, comfort with technology, and ability to put students at ease. They should also have an understanding of basic financial operations.

Responsibilities:

Triage:

  • Answers health services phone calls and assists students with questions and concerns.
  • Appropriately evaluates the level of emergency when scheduling appointments.
  • Helps triage emergencies and coordinate with Public Safety, family members and other faculty involved within Campus Life, as appropriate.
  • Ensures necessary information about the students medical and insurance status.

Patient Appointments:

  • Greeting and checking in student clients.
  • Checks insurance compliance at each appointment and completes patient discharge with electronic payment.
  • Will assist with scheduling follow up appointments or referrals as needed. Record and/or check for accuracy the medical data (Emergency contact, vaccinations, health insurance) for all students.

Patient Management:

  • Assists with attending summer New Student Orientations/Summer Welcome Days and Resource Fairs.
  • Verifies vaccination information to assure compliance for all full-time incoming undergraduate and graduate students.
  • Coordinates information with Enrollment Management to notify new students of missing health records.
  • Tracks non compliant students and assists them with the process of obtaining records to ensure correct documentation.
  • Follows up with email notifications of all students that are incomplete with medical data.
  • Coordinates with Residence Life Staff regarding compliance with PA state law requiring meningitis vaccination requirement in community settings.
  • Maintains medical and philosophical waiver lists.
  • Maintains right to service suspension list.

Office management:

  • Coordinate Director's schedule. Ensure ample time for meetings and other projects.
  • Faxes and or copies pertinent confidential medical information as requested.
  • Monitors and orders office supplies for unit staff.
  • Acts as a resource person to other staff, for example medical assistant, nurse practitioners and work study students.
  • Faxes and or copies pertinent confidential medical information as requested.
  • Coordinates all facilities requests and work orders.
  • Assists in coordination of schedules of PA program's DE satellite office.

Contracts:

  • Coordinates contracts and legal, security and IT documents for all of SHS. Routes documents for signatures and tracks processes.
  • Coordinates and maintains TimelyCare contract for Division of Campus Life.

Finances:

  • Reconciles budget on a daily, weekly and monthly basis which includes monitoring expenses and revenue.
  • Student self advocacy: Help navigate students to become more knowledgeable of the healthcare system:
  • Guide students through insurance processes.
  • Guide students through the process of being a self-advocate for medical care.
  • Emphasize the importance of appointment scheduling and adherence.

Coordination of Clinic Services:

  • Assists with coordinating Flu Clinics with Rite Aid pharmacy for the campus.
  • Contact the Office of International Programs (OIP) to ensure incoming students medical compliance.
  • Acts as a liaison between the OIP and international students to assist with health compliance.

Other Duties As assigned.

Qualifications:

Required Knowledge, Skills and Abilities:

  • Excellent computer skills.
  • Strong collaboration, problem solving and communication skills.
  • Displays a high level of comfort working with college-aged students and demonstrates ability to put them at ease.
  • Strong professional telephone and strong personal communication skills.
  • Ability to learn and become proficient in programs such as Medicat, SalesForce, PowerCampus and Microsoft Suite.

Minimum Qualifications:

  • At least one year of related experience. Medical office experience is preferred

Preferred:

  • Experience in Higher Education.
  • Updates job knowledge by participating in educational opportunities and reading professional publications.

Other Requirements: (e.g., certificates, license required)

  • CPR/AED certified or ability to get certified within 90 days
