Summary: Under basic supervision, performs office support and clerical duties for assigned work group. Completes the purchasing and maintains an adequate inventory of station supplies and uniforms. Responsible for creating station requisitions for supplies needed. Performs a variety of technical and administrative tasks in support of Odessa Fire Rescue.

Essential duties and responsibilities may include, but are not limited to, the following:


  • Performs general clerical and office support duties; makes and distributes copies; processes mail, documents, and other materials; duties may vary according to job assignment.
  • Enters data into City computer systems; maintains electronic and paper files and records.
  • Assists City staff and the general public. Answers inquiries about City services, programs, and records; greets and receives visitors and customers; explains rules, policies, and procedures; provides information within the scope of authority.
  • Assists fire department administrative assistants as needed.
  • Takes inventory of stock room/orders supplies for maintenance and daily operations of fire stations, fire trucks, and training field grounds.
  • Purchase parts for repairs to equipment and stations.
  • Keep accurate inventory on all supplies for the warehouse.
  • Keep inventory room clean, in order, and presentable.
  • Assists with EMS Lifeline and EMS run sheets as needed.
  • Reconciles all purchase card transactions and statements in a timely manner to meet deadlines.
  • Maintain all departmental vehicles, ensuring proper preventative maintenance and fuel card accountability.
  • Supports the departmental operations with regular and timely attendance.
  • Responsible for ordering, receiving, issuing, and maintaining all supplies and equipment purchased by the department.
  • Responsible for ordering, issuing, and replacing uniforms for employees as needed.
  • Responsible for inventory of PPE along with tracking repairs and replacements.
  • Work with sales representatives from various companies.
  • Responsible for the completion and proper routing of check requests, purchase orders, and requisitions.
  • Assists with preparation of program budgets.
  • Must have an aptitude for details.
  • Performs all other duties as assigned.
  • Supports the relationship between the City of Odessa and the general public by demonstrating courteous and cooperative behavior when interacting with visitors and City staff; maintains confidentiality of work-related issues and City information; performs other duties as required or assigned.



Minimum Qualifications:

Education, Training and Experience Guidelines: High School Diploma or GED required. Clean driving record and working knowledge.


Knowledge of:

  • Principles and methods of customer service and records management.
  • Business computers and standard MS Office software applications.

Skill in:

  • Dealing tactfully and courteously with the public.
  • Following verbal and written instructions and procedures.
  • Entering data with high levels of accuracy and productivity.
  • Establishing and maintaining cooperative working relationships with co-workers.
  • Communicating effectively verbally and in writing.



License and certification requirements: A valid Texas State Driver's License is required.


Physical demands and working environment: Work is performed in a standard office environment. While performing the duties of this job, the employee is required to sit; use hands to operate equipment, handle or feel; reach with hands and arms; talk and hear. The employee is required to stand, walk and sit. The employee is required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds.
