Office Administrator - Lake Park Campus

Position Overview

As a professional in the educational environment, this role helps shape future Christian leaders who will advance God’s church, community, and His Kingdom on earth. This position supports a classical Christian curriculum that involves a love for ancient wisdom, instilling virtue, connecting Christ to every subject, and developing world class rhetorical skills. This role is pivotal to coordinate communications and planning with the staff and school administration to create a vibrant classical school culture in assemblies, chapels, and in the classroom.

Title: Office Administrator – 12-month position

Reports to: Palm Beach Christian Academy (PBCA) Principal Lake Park Campus

Prerequisites

  • Evidence of strong Christian faith and values and acknowledgement of the School’s Statement of Faith and Staff Leadership Covenant.
  • Evidence of ability to interact collaboratively and communicate effectively with students, parents, staff, and Administration.
  • Must pass drug test, fingerprints, and Level 2 background check.
  • Proficient skills in Microsoft Office programs.
  • Able to use standard office equipment.
  • Excellent integrity and demonstrates a strong Christian character.
  • Able to handle moderate to high stress levels.
  • Able to maintain confidentiality.

Responsibilities

Communications and Administration

  • Serve as first point of contact for all current and prospective families.
  • Partner with PBCA Administration on tour procedures and provides campus tours for prospective elementary and preschool families.
  • Participate in all school meetings, trainings, and orientations.
  • Maintain enrollment records for all campuses.
  • Coordinate planned absences and coverages with PBCA Administration and manages all unplanned staff absences.
  • Enter all school wide events into eSpace planning application.
  • Submit work orders for campuses.
  • Order and distribute supplies for campuses.
  • Manage PBCA timecards in the ADP Time and Attendance module.
  • Assist Administration with curriculum orders.
  • Abide by and maintain Florida Health Department Rules and Regulations.
  • Complete all in-service hours/required DCF training.
  • Work with Palm Beach County School District for all ESE, Title 1, and other programs offered to private schools.
  • Coordinate district tutoring schedule for elementary students who qualify.
  • Work with Administration on all registration documents.
  • Partner with Human Resources and PBCA Administration on staff/parental concerns.
  • Coordinate PBCA fundraisers.
  • Accept tuition payments and prepare for deposit.
  • Submit check requests into Accounts Payable for Principal and teachers.

Scholarship

  • Enroll students in the Step-Up for Students scholarship program throughout the year.
  • Process Step-Up for Student Scholarship quarterly payments.
  • Maintain records for the Step-Up for Students payments which arrive in weekly batches.
  • Follow up with parents to approve their quarterly payments.
  • Quarterly Attendance Report Verification for Step-Up for Students scholarship program.
  • Submit test scores to the evaluation team with Florida State University Learning Systems Institute (LSI) for students grades three and above for students on scholarship.
  • Coordinate with Administration to prepare the Agreed Upon Procedures for Step-Up for Students and the annual school review at year-end.
  • Re-apply annually with the Florida School Choice Programs, including survey, fingerprinting, and compliance reports.
