The Administrative Assistant is responsible for assisting in the day-to-day operations of the office.

Duties include:

  • Payroll time entry
  • Validate Payroll
  • Payroll Adjustment
  • Payroll Auditing
  • Work with technicians on any timecard discrepancies
  • Prevailing Wage
  • Certified Payroll
  • Process travelers and create jobs in IFS
  • Review billing tickets and enter time under the correct WO #’s in IFS
  • Work with technicians on any billing ticket discrepancies
  • Create digital job folders in Share File
  • Pre-Invoice
  • Invoicing for all customers
  • Combine digital files once job is invoice to be able to submit to customer.
  • Invoice submittal (Via email or through customer portal)
  • Work with customers on any invoice discrepancies
  • Issue credits (As needed)
  • Submit credits to corporate in a timely manner
  • Provide Support to our Field techs when needed
  • Answers phones
  • Back up office manager when out sick or on vacation

This will be a full time position with occasional weekend work to complete month end invoicing.

Hourly Range: $23-$24/per hour
