Position Purpose:
The Senior Lease & Property Administrator (SLPA) performs Lease Administration activities including accounts payable and accounts receivable functions related to Real Estate Leases, Internal Real Estate Leases, and 3rd Party Tenant Leases. In addition, the SLPA performs real estate transactions and other real estate matters for owned and leased properties.
Responsibilities & Tasks:
Accounts Payable:
  • Processes rent invoices from landlords and verifies CPI increase calculations.
  • Reviews operating expense pass thru charges billed by Landlords for appropriateness and compliance with lease.
  • Prepares all new leases, renewals and related lease documents for scanning.
  • Sets up lease and recurring rental charges in required databases.
  • Maintains lease database regarding rents, critical dates and vendor data.
  • Abstracts internal leases into required databases.
  • Processes Estoppels and Subordination, Non-Disturbance and Attornment Agreements.
  • Prepares and submits Certificate of Insurance requests.
  • Reviews AP Rent Up.
  • Notifies company Accountants of increases for internal leases.
  • Responds to inquiries from Accounting, Operations, and Consultants regarding Lease Administration activities.
  • Researches real estate accounting issues.
Accounts Receivable:
  • Sets up 3rd party leases and related charges in required databases.
  • Closes out 3rd Party Tenant records and accounts.
  • Maintains lease database regarding changes in lease, contact and rental charge data.
  • Tracks Security Deposits, Prepayments of Rent and TI allowance reimbursements in database.
  • Maintains rental charges, including CPI increase calculations, and prepare monthly invoices for Tenants.
  • Prepares all rental income received at Lockbox for posting.
  • Manages delinquent rent collection - sends notices, documentation, referral to legal counsel.
  • Researches real estate accounting issues and inquiries.
  • Researches inquiries involving rental charges and income for Tenants, Operations, Real Estate, Accounting, and Consultants.
  • Prepares all new leases, renewals and related lease documents for scanning.
  • Reviews AR Rent Up.
Real Estate Transactions:
  • Performs real estate transactions and other real estate matters for owned and leased properties.
  • Maintains real estate legal and economic standards on contract and lease terms and conditions.
  • Manages and monitors activity on real estate projects.
  • Manages real estate service providers on assigned projects.
  • Negotiates transactions as required and monitors transactions for compliance.
  • Plans and directs the use of external and internal resources to achieve company objectives.
  • Organizes, plans, and manages time effectively to complete assignments.
General:
  • Prepares request for new vendors and vendor changes in PeopleSoft.
  • Verifies vendor information.
  • Purges/prepares vendor files.
  • Mails rent checks to vendors and monthly statements to tenants
  • This position must sit at our Home Office, located in Birmingham, AL
Qualifications
License or Certification:
  • NONE
Minimum Qualifications:
  • Degree in Business Administration, Real Estate, or related area preferred.
  • Three or more years' experience handling payables or receivables (preferably in corporate real estate, commercial real estate, or property management) and abstracting lease documents.
  • One or more years' experience in corporate or commercial real estate leasing, sales, or property management.
  • Proficiency in real estate database software applications.
