Position Overview:

The client is seeking a highly skilled IT Project Coordinator (PC) to join our collaborative Medicaid Management Information System (MMIS) team. This role requires a high level of professionalism, strong organizational and project management skills, and the ability to thrive in a fast-paced, high-performance environment. The IT Project Coordinator will report to the MMIS Director and provide primary administrative support and project coordination for various core administrative tasks and mission-critical activities. The ideal candidate will be highly motivated, adaptable to change, results-oriented, and possess exceptional communication and organizational skills.

Work Schedule:

Monday – Friday, 9:00 AM – 5:00 PM, with flexibility available based on operational needs. The position will follow a hybrid model of reporting to work, typically Tuesday and Wednesday in the office, and working from home on other days.

Key Responsibilities:Administrative Duties:
  • Complex Administrative Tasks: Lead complex administrative duties requiring skill, agility, reasoning, judgment, and decision-making.
  • Special Projects: Lead special projects/assignments by establishing clear objectives, determining priorities, aligning with MMIS standards, gaining cooperation from teams, setting expectations, establishing project plans, managing progress, and problem-solving.
  • Helpdesk Management: Manage the MMIS CA Uni-Center ticket queue for lower-environments access requests and coordination with MMIS teams; maintain internal procedure updates, and collaborate with Access & Controls and Helpdesk leads to resolve process issues.
  • Stakeholder Coordination: Maintain relationships with the Assistant Chief Information Officer's (ACIO) office and MassHealth senior executive management to coordinate support for cross-team initiatives.
Financial and Budget Management:
  • Invoice and Budget Processing: Partner with the MMIS PMO Lead to manage and process monthly invoices and maintain the MMIS Budget system.
  • Project Intake Support: Work with the MMIS Development team to support project intake of new submissions, ensure level-of-estimates are submitted, and track progress.
Staff Management:
  • On/Offboarding Management: Oversee all aspects of on/offboarding staff and establish procedures for ongoing management and coordination across MMIS Management and Team Leads.
  • Software Licenses and Inventory: Manage systems for software licenses, inventory tracking, and reporting. Establish relationships with the Asset Management team.
Meeting and Documentation:
  • Meeting Coordination: Manage MMIS Director meeting requests, including agenda preparation, meeting minutes, related correspondence, presentation preparation, and follow-up activities.
  • Research and Analysis: Support research and analysis assignments, including data collection, running queries, preparing documents, reports, and summarizing information into charts and graphs.
  • System Outage Notices: Draft system outage notices for the Communications team.
  • Procedure Development: Develop operational procedures, instructional guides, and memos.
  • Excel Reporting: Create and manage MS Excel charts, graphs, pivot tables, and workbooks.
Required Skills & Experience:
  • Experience: 5+ years of hands-on experience in IT project coordination or a similar role.
  • Technical Skills: Proficient in Microsoft Office 365 (Word, Excel, PowerPoint, Access, VISIO). Strong skills in creating charts, graphs, pivot tables, and workbooks in MS Excel.
  • Project Management: Strong organizational and project management skills, with the ability to handle multiple priorities and meet deadlines.
  • Interpersonal Skills: Excellent interpersonal, communication, and relationship management skills. Ability to exercise discretion and handle confidential information.
  • Analytical Skills: Strong analytical, problem-solving, and follow-through skills.
  • IT Environment Experience: Prior experience working in an IT environment is a plus.
  • Software Learning: Ability to learn new software quickly.
Preferred Qualifications:
  • Education: Bachelor’s degree or higher.
  • Experience: Prior experience in a Medicaid Management Information System (MMIS) environment.
  • Skills: Ability to work with minimal supervision and manage virtual meetings effectively.
