Job Summary:

The primary responsibility of this role is to assist the HR Department in managing the backlog of filing and scanning tasks to ensure consistency in both hard file and soft file systems. The incumbent will be tasked with organizing physical files in office filing cabinets, verifying completeness by cross-referencing with electronic records, and ensuring proper storage of electronic documents in SharePoint.

Responsibilities:

Organize physical files in office filing cabinets to ensure consistent and systematic record maintenance.

Verify the completeness of hard files by cross-referencing with existing electronic records.

Organize electronic documents in SharePoint according to departmental practices and guidelines.

Navigate SharePoint proficiently to locate, create, and file documents as per client specifications.

Collaborate with HR Department to maintain consistency and accuracy in file management processes.

Assist in the development and implementation of improved file management procedures.

Maintain confidentiality and integrity of sensitive information at all times.

Qualifications:

Highly organized and detail-oriented with a strong focus on accuracy.

Prior experience in electronic maintenance and file management is required.

Proficiency in navigating SharePoint and creating/filing documents according to client guidelines.

Experience in HR-related work is preferred but not mandatory.

A degree in a related field of study is a plus but not required.

Skills:

Excellent organizational skills with the ability to prioritize tasks effectively.

Strong attention to detail and accuracy in data entry and file organization.

Proficiency in using Microsoft Office Suite and other relevant software.

Excellent communication and interpersonal skills.

Ability to work independently as well as in a team environment.

Strong problem-solving skills and ability to adapt to changing priorities.

Working Conditions:

This position primarily operates in an office environment.

Occasional lifting of file boxes may be required.

Regular use of computer and other office equipment is essential.
