What You'll Do

The Senior Production Coordinator is tasked with working with the National Project Management Team to coordinate the flow of all project-related documentation and site installation requirements while maintaining the associated systems accordingly. The Senior Production Coordinator is responsible for managing elements of production inclusive of travel, logistics, design and production elements and order updates. This role ensures all data in the project management software is up to date while performing all other administrative tasks as required.

Additionally, this position is responsible for providing logistical support and hands-on assistance as needed to the Senior Project Managers both at jobsites and in the office to carry out the objectives of the team and ensure that all projects are complete in accordance with the Project Completion Guidelines. Duties include managing production timelines and associated documents in required systems and proactively managing all logistics and travel related to projects including ferries, flights and housing in advance and on budget. In order to successfully achieve this, the position requires flexible hours and ability to travel with minimal limitations. The position reports to the National Project Managers in a direct reporting relationship.

In order to successfully operate, the position requires that a full workweek is maintained remote and inside the office with occasional site and weekend work as needed. The Senior Production Coordinator should also have a strong focus on working to continuously improve the accuracy of the collected information required by the Team to ensure the successful execution of tented projects.


The Day-to-Day

· Develop and maintain an understanding of the tenting process and the measures necessary for executing a tented event

· Must have a strong understanding of outdoor event production and live events

· Must be forward-thinking so as to anticipate needs and address

· Understand and maintain an organized process to collect all pertinent data for all projects

· Successfully coordinate the collection of project information and work with the necessary stakeholders to ensure all information is always up to date in all systems

· Coordinate and book all project-related travel while maintaining appropriate lead times and budget expectations

· Responsible for all associated administrative tasks related to projects or as needed

· Attend client meetings to review projects and ensure that designs and proposals are updated as needed

· Respond to client emails and phone calls in a timely manner

· Ensure company standards for timely communication and client deadlines are met

· At times as the point of contact at job sites for clients

· At times place sales order entries and make order changes as needed

· Follow up with clients regarding their sales orders and determine accuracy

· Manage tent production timelines on digital platform

· Maintain a positive attitude and strong customer service focus

· Maintain professional standards of integrity and honesty in representing the company

· Maintain the quality service standards of the Company
