Key ResponsibilitiesThe Senior Production Coordinator plays a pivotal role in collaborating with the National Project Management Team to oversee the flow of all project-related documentation and site installation requirements, ensuring that all systems are maintained accurately. This position is responsible for managing various production elements, including travel, logistics, design, and order updates. The Senior Production Coordinator will ensure that all data within the project management software is current while executing other necessary administrative tasks.
Additionally, this role provides logistical support and hands-on assistance to Senior Project Managers both on-site and in the office, facilitating the team's objectives and ensuring project completion aligns with established guidelines. Responsibilities include:
- Managing production timelines and related documentation in required systems.
- Proactively overseeing all logistics and travel arrangements for projects, including ferries, flights, and accommodations, while adhering to budget constraints.
- Maintaining flexible hours and readiness to travel as needed.
- Reporting directly to the National Project Managers.
This position requires a balance of remote work and office presence, with occasional site visits and weekend work as necessary. The Senior Production Coordinator should focus on enhancing the accuracy of collected information to ensure the successful execution of tented projects.
Daily Activities- Developing a comprehensive understanding of the tenting process and the requirements for executing tented events.
- Possessing a strong grasp of outdoor event production and live event management.
- Anticipating needs and addressing them proactively.
- Maintaining an organized process for collecting all relevant data for projects.
- Coordinating and booking all project-related travel while adhering to budget expectations.
- Attending client meetings to review project details and ensure designs and proposals are updated as necessary.
- Ensuring timely communication with clients and meeting company standards for deadlines.
- Occasionally acting as the point of contact at job sites for clients.
- Managing tent production timelines on a digital platform.
- Upholding a positive attitude and strong customer service orientation.
- Ability to collaborate effectively across all organizational levels.
