Job Summary:

The Accounts Payable Specialist will be a part of a high functioning team that operates methodically and efficiently to process and pay invoices incurred in the course of business making sure they are paid on time and in accordance with company policy. He/she must be able to effectively communicate with team members, other employees throughout the company, and outside vendors.


Primary Duties & Responsibilities:

· Setup and maintain vendor records for compliance with internal controls and W-9/1099 requirements

· Verify TIN’s using IRS TIN Matching

· Contact Vendors to obtain any missing information

· Prioritize invoices according to cash discount potential and payment terms

· Manage invoice electronic mailboxes

· Enter invoices into in AvidXchange for managerial approval

· Sync payments and vendors from ERP to AvidXchange

· Process invoices and check requests, reviewing for proper approvals and account codes

· Process check and EFT Payment batches

· Resolve invoice discrepancies and reconcile vendor statements

· Weekly review of outstanding invoices awaiting approval

Requirements:

· High school diploma required, college courses in accounting are a plus

· Minimum one year of Accounting or Accounts Payable experience required

· Proficient in Excel and Word, 10-key by touch, Microsoft Dynamics experience a plus

· Ability to speak and write English fluently

· Ability to type 60-65 wpm

· Detail oriented, professional attitude, reliable

· Self-starter with strong organizational and time management skills

· Strong problem-solving skills, documentation skills, research and resolution skills

· Ability to communicate effectively both verbally and in writing

· Ability to interact with employees and vendors in a professional manner

· Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness

· Ability to handle interruptions and special requests in a patient manner
